The Archer Center is seeking an enthusiastic and collaborative team player to serve as our Austin-based Administrative Program Coordinator.

This position provides direct support for Archer Center operations, focusing on administrative coordination of daily operations, communications, recruitment, and the Archer Center's scholarship program.

A successful candidate will be public service-minded and interested in the Archer Center's mission and vision. The position requires attention to detail, accuracy, and the ability to meet deadlines.

Candidates must have exceptional verbal and written communication skills, the ability to support multiple staff, and complete tasks in a fast-paced environment.

Candidates must possess a high level of integrity and professionalism, keeping sensitive information confidential at all times.

The desired employee is exceptionally organized, detail-oriented, possesses excellent customer service skills, is a collaborative team player, and is able to prioritize and complete tasks in a timely manner.

Minimum Education and Experience

Bachelor's degree in related field.

3-5 years experience providing support to programs or projects or equivalent combination of education and experience.

Preferred Education and Experience

  • Must be exceptionally organized, detail-oriented, and possess excellent verbal, written and interpersonal skills.
  • Excellent oral and written communication skills.
  • Experience performing complex administrative functions at a college / university or relevant professional setting.
  • Working knowledge or direct experience with the UT System and / or UT System institutions.
  • Experience recruiting for university experiential learning or study away programs.
  • Proven ability to work with different stakeholders and foster an atmosphere of respect.
  • Interest in public policy and public service and supportive of the Archer Center's mission to educate the next generation of leaders.
  • Project management experience.
  • Experience coordinating business meetings and travel arrangements.
  • Experience preparing and editing correspondence.
  • Intermediate or advanced proficiency in MS Office Suite and shared document platform (i.e, Box).

Essential Duties and Responsibilities

The Archer Center Administrative Program Coordinator is a key member of the Archer Center's Texas-based team. Duties include :

Operations

  • Coordinates Texas-based administrative logistics.
  • Manages the Archer Center's general email inbox and responds, resolves, or assigns inquiries to appropriate person.
  • Assists with development and fundraising projects, including donor correspondence.
  • Supports Texas-based business operations, in coordination with D.C.-based administrative support, including travel arrangements and reimbursements for Austin-based Archer Center team.
  • Supports tracking and procurement of Archer Center collateral and marketing materials; oversees distribution of materials to UT System institutions and stakeholders.
  • Coordinates logistics for Center-related events and meetings.

Recruitment & Admissions

  • Coordinates scheduling and communications for Archer Center recruitment activities, including campus information sessions and other outreach.
  • Manages communications with prospective students, including the Archer Center admissions email account; Maintains records, files, and spreadsheets related to recruitment and admissions.
  • Oversees the online application for the Archer Fellowship and application processing, addressing questions that arise for candidates and / or recommenders.
  • Coordinates fellowship selection advisory committee communications.
  • May participate in recruitment events and activities on various campuses, including information sessions or participating in candidate interviews.

Scholarship Coordination

  • Prepares scholarship applications, timelines, and resources for students in the undergraduate and graduate Archer Fellowship Programs.
  • Coordinates funding information sessions and serves as the Archer Center's first point of contact for scholarship inquiries.
  • Coordinates the review, scoring, and awarding of scholarship applications for the Archer Center's need-based, merit-based, and donor-funded scholarships and endowments.

Other duties as assigned.

Location

This position is based in the Archer Center's Austin, Texas, office within the The University of Texas System Administration building and reports to the Assistant Director of Admissions and Campus Relations.

Work Notice

Evening and weekend hours and travel may be required. Hybrid or remote work environment may be available, and a UT Dallas Remote Work Agreement is required upon employment.
