Title : Administrative Specialist
Reports to : VP of Administrative Services
Status : Non-Exempt
Work Schedule : Full Time : Monday through Friday 8 : 30 a.m. to 5 : 00 p.m.
Position Summary : Orange Blossom Family Health is seeking an organized, detail-oriented Administrative Specialist to handle a variety of tasks within our organization. Responsibilities of an Administrative Specialist include managing office supplies, handling correspondence, scheduling meetings, and supporting other staff with organizational tasks. Our ideal candidate has excellent communication skills, a knack for problem-solving, and a strong background in office management. This position provides support to the VP, Administrative Services, HR Generalist, and the VP, Medical Operations. Additional support tasks may be assigned as needed.
The Administrative Specialist’s role is to maintain smooth daily operations and ensure that administrative procedures are carried out efficiently and effectively. The ideal candidate will possess the ability to work collaboratively with all levels of management.
Responsibilities :
- Manage and distribute information within the office
- Organize office operations and procedures
- Schedule appointments and meetings
- Maintain office supplies inventory
- Handle office correspondence
- Support staff with administrative tasks
- Develop and maintain a filing system
- Assist in the preparation of regularly scheduled reports
- Manage relationships with vendors and service providers
- Receive and route incoming calls to the appropriate staff
- Assist with community events
- Perform other duties as required
Qualifications :
Proven experience as an administrative assistant or office admin assistantKnowledge of office management systems and proceduresProficiency in MS Office (MS Excel and MS PowerPoint, in particular)Excellent time management skills and the ability to prioritize workStrong organizational skills with the ability to multi-taskExcellent written and verbal communication skillsStrong problem-solving skills and attention to detailAssociate’s degree in a related field preferred. Additional qualification as an Administrative assistant or Secretary will be a plusPhysical Requirements :
