Job Description
Our client, a prominent higher education institution in the region, is seeking a highly organized and polished Executive Administrative Assistant to support the Office of the President. This individual will play a key role in managing the daily schedule and workflow of the President, ensuring efficient use of time and smooth coordination of all commitments.
This is a fast-paced, high-responsibility position that requires strong judgment, professionalism, and the ability to anticipate needs before they arise. The ideal candidate is detail-oriented, proactive, and comfortable interacting with senior leaders as well as a wide range of internal and external stakeholders.
Key Responsibilities
- Manage a complex executive calendar, balancing demanding and shifting priorities.
- Coordinate meetings, events, appointments, speaking engagements, and travel logistics.
- Ensure the President is fully prepared for daily activities by gathering and organizing briefing materials and background information.
- Act as a primary liaison on behalf of the President with faculty, staff, students, community partners, and other external contacts.
- Monitor and track incoming communication; draft and send follow-up correspondence as needed.
- Maintain confidential records, contact lists, files, and document systems.
- Prepare expense forms, requisitions, reports, and other administrative documentation.
- Screen calls, visitors, and email, directing inquiries as appropriate.
- Assist with office operations and additional administrative tasks as needed to support the smooth functioning of the office.
Qualifications
Minimum of six (6) years of experience supporting a senior executive, CEO, President, or comparable leader in a fast-paced, strategic environment.Bachelor’s degree required.Demonstrated ability to manage multiple scheduling priorities and deadlines with accuracy.Strong written and verbal communication skills, including proofreading and document preparation.Ability to exercise sound judgment, tact, and discretion when handling sensitive or confidential matters.Highly organized with strong follow-through and the ability to anticipate needs.Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and virtual meeting platforms (e.g., Zoom, Teams).
