Freight Operations Coordinator
The Freight Operations Coordinator supports the efficient movement of cargo through transloading operations by handling documentation, communication, and coordination across operations and support teams, customers, and business partners. Primary objectives include coordinating accurate and timely cargo handling through effective processing of work orders, maintaining clear and consistent communication with customers, vendors, and operations teams, supporting operational readiness by aligning documentation and schedules with cargo arrival timelines, and maintaining accurate records to support billing, inventory, and compliance.
Duties and responsibilities include coordinating cargo movement based on export bookings and import documentation, entering and preparing work orders in proprietary systems with complete and accurate instructions for dispatch, operations, and vendors, printing and distributing required paperwork to operations prior to cargo arrival and relaying upcoming volumes to dispatch and management, providing timely updates to customers throughout the transloading process and sending final documents by required cut-off times, updating account records, customer databases, and inventory logs, responding to delays or issues affecting work order completion, notifying customers of cargo issues, communicating professionally via email and phone to provide accurate and current information, preparing billing for completed work orders, applying correct tariff or contractual rates, assisting with invoice corrections, coordinating inspections with government entities when required or requested, and other duties as assigned.
Qualifications to perform this job successfully include a high school diploma or equivalent, 1+ year warehouse, data entry, customer service, or related experience, freight operations, warehouse, or logistics experience preferred, knowledge of freight transportation and warehouse operations, excellent customer service skills, strong problem solving and multi-tasking skills, excellent verbal and written communication skills, ability to enter and review data with a high degree of accuracy, proficiency with office-related tasks such as filing, faxing, scanning, and mailing, and demonstrated basic level proficiency with Microsoft Office tools including Excel, Word, and Outlook.
