Program Coordinator
Under the general direction of the Program Supervisor and the Pediatric Cardiology Director of Cardiac MRI, the Program Coordinator must have the ability to perform and prioritize multiple tasks and work well with staff and faculty in a complex environment. A high degree of independence, initiative, assertiveness, and diplomacy are necessary in daily practice. Analytical and practice support will be provided for the Cardiac and "3D+" practices by supporting the Pediatric Cardiac Magnetic Resonance Imaging (MRI) Program, UCSF's Center for Advanced 3D+ Technologies (CA3D+), and other nursing / physician clinical support as needed. The position will identify and implement operational improvements to ensure high quality service to patients.
Applies broad knowledge of clinical, regulatory, and operational practices to implement and monitor the operations of the Pediatric Cardiac MRI program and CA3D+ including clinical scheduling, insurance authorizations, documentation, financial reporting, IT systems, facilities and procedures are compliant and meet clinical standards.
The Pediatric Cardiac MRI program performs advanced cardiac imaging of children with pediatric and congenital heart disorders. The MRI program is a collaborative initiative between the PHC and UCSF's Department of Radiology. The program interfaces with internal and external referring providers to provide detailed cardiac imaging, working in close collaboration with Anesthesiology for exams that require sedations. Additionally, the program provides critical information to interventional specialists, either Interventional Cardiology or Cardiothoracic Surgery. Finally, the program is an important element of UCSF's CA3D+ initiative, as below.
UCSF's Center for Advanced 3D+ Technologies (CA3D+) is a newly established Center to apply "3D+" technologies (3D printing, augment / virtual / mixed reality, etc.) to enhance patient care at UCSF. CA3D+ is supported by University and philanthropic funding, and is a multi-disciplinary collaboration involving the Pediatric Heart Center, and the Departments of Radiology and Orthopedics.
Required Qualifications
Three years of relevant experience
Knowledge of ambulatory care clinic practice management including patient care workflows and processes
Proven ability to apply knowledge of medical center policies and procedures and related legislative, accreditation, licensing and compliance environments to assess and monitor clinic operations
Excellent communication skills; includes active listening and critical thinking. Demonstrated ability to clearly and concisely communicate clinic content, rules and regulations
Strong interpersonal skills. Actively cooperates and supports the work of others. Ability to work productively with anyone regardless of background. Empathetic and aware of impact on others
Productive in work volume, speed, quality and consistency. Ability to see projects through to completion on deadline. Excellent interpersonal judgment and discretion. Ability to work well as part of an administrative team with a customer service orientation towards co-workers, faculty and researchers
Ability to perform all commonly applicable functions in the Microsoft Suite. Skills in data management. Effectively uses relevant healthcare and clinic operations information technology, including billing systems and medical record documentation
Thorough knowledge of data management and documentation methods used in ambulatory care clinics
Bachelor's degree in related area and / or equivalent experience / training
Preferred Qualifications
Familiarity with medical terminology and clinical knowledge of practice area
Previous experience (1-2 years) in an outpatient clinical or radiology environment working directly with patients and physicians
