Job description

Registrar - 4th Floor OR

Provide our world-renowned health care team with outstanding administrative support. In this position, you will be responsible for the registration of patients arriving to the hospital for admissions and procedures. Your scope of duties will include maintaining records, processing physician orders, scheduling and general data entry. In this highly visible role you will be interacting with patients, families, and health care providers.

Patient & Visitor Reception

  • Greet and direct patients, families, and healthcare providers upon arrival to the unit
  • Facilitate communication among healthcare providers, patients, families, and visitors
  • Ensure a welcoming and professional front-desk presence at all times

Communication & Coordination

  • Manage and triage incoming phone calls promptly and efficiently
  • Utilize communication tools (e.g., EPIC SecureChat) to expedite coordination between OR personnel via appropriate escalation pathways
  • Transcribe and disseminate huddle messages through appropriate channels
  • Coordinate with surgeons and offices on add-on surgical cases, including scheduling, surgeon availability, and case details
  • Update or change surgical consents as directed
  • Administrative & Documentation Support

  • Order and maintain unit office and podium supplies
  • Maintain accurate and up-to-date unit logs and documentation, including :
  • Crash cart and other essential equipment logs
  • Sick call records and reconciliation sheets
  • Overtime documentation
  • Future staffing review as directed by leadership
  • Update EPIC per shift with current staff assignments
  • Assist with the creation of the monthly OR on-call schedule draft
  • Support staff with submission of missed punch forms
  • OR Flow & Efficiency Monitoring

  • Monitor on-time OR starts and progress of cases throughout the day
  • Adjust surgical case durations in real time to help minimize delays
  • Deliver medical devices and braces to the OR as needed
  • Unit Maintenance & Appearance

  • Maintain a clean, organized, and professional workspace
  • Update outward-facing communication boards (e.g., Daily Management Board) and unit signage
  • Team Support & Delegated Tasks

  • Perform additional tasks as delegated by the charge nurse, pod leader, APCD, or PCD
  • To qualify you must be proficient in key boarding and data entry with minimum typing speed of 30 wpm. Minimum one year previous patient registration or hospital experience required. Strong communication and customer service skills are essential. Knowledge of medical terminology and insurance forms are also required. High School diploma or equivalent required - Associates Degree highly desirable. Heartsaver required.
