Senior Executive Manager, Office Of The CEO

Reports to : CEO

Job Status : Full-Time

Classification : Exempt / Salaried

Salary Range : $80,000-$90,000

Application Deadline : November 14, 2025

Starting : December

Location : Washington, DC

Schedule : Hybrid; 2 in-office days and 3 remote days. Monday - Friday, 9am to 5pm. Some special events will occur outside of regular work hours.

We drive systemic change by partnering with education and policy leaders while offering direct, two-generation support to teen parents in college and their children. Position

The Senior Executive Manager is a full-time position, working directly with the CEO to enhance the organization's internal and external impact. This is an individual with high integrity who exhibits an outstanding work ethic and thrives in a fast-paced, high-performing environment. They will be highly organized, extremely detail oriented, self-motivated, and able to handle confidential information, as well as have a demonstrated ability to balance multiple projects. Experience providing administrative support for an executive is a must. They will have the ability to work independently, prioritize tasks, and be flexible and highly organized. The position requires comfort with being a hub of information within the organization, working with teams, and building effective internal and external working relationships. Being able to anticipate needs and connect the dots for the CEO will be critical to success in this role. In addition, exceptional written and oral communication skills, project planning, and time management are required.

Responsibilities

  • Manage every aspect of the CEO's calendar and ensure all information is up-to-date and represented accurately, including setting all appointments, working with the CEO to prioritize meetings, anticipating CEO's scheduling needs, etc.
  • Prepare the CEO for all internal and external meetings and events by providing a daily itinerary, compiling materials for weekly check-ins, developing and proposing agenda items, researching and gathering critical information for meetings, as needed, and confirming meeting details.
  • Ensure timely and accurate follow up for the CEO after meetings, including updating the CRM, informing other staff of key outcomes and next steps, and providing post-meeting information and materials to external guests.
  • Develop and maintain systems and processes to help maximize the CEO's time and create more efficiency across the organization, such as utilizing Monday.com boards.
  • Save time for the CEO by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating communications on the CEO's behalf.
  • Assist CEO with collecting and submitting receipts and expense reports in a timely manner for accurate financial tracking.
  • In partnership with the Chief of Staff (COS), schedule all board meetings and retreats and support their execution by taking meeting notes, preparing board meeting materials, and preparing board packet items. Schedule all executive committee meetings and standing board committee meetings. Track board forms completion. Send monthly board highlights email to ensure the board stays up to date on organizational needs and events.
  • Represent the organization and the CEO through communications and interactions with supporters, acting with warmth, respect, and professionalism at all times.
  • Ensure that the CEO is aware of impending deadlines and is providing information and deliverables to internal and external stakeholders in a timely manner through reminders, review queue updates, and review times included on the calendar.
  • Coordinate all travel for the CEO and create corresponding detailed itineraries.
  • Manage all speaking engagements for the CEO, including working with speaker agencies, vetting opportunities, liaising with internal and external stakeholders, preparing the CEO for speaking engagements, and managing all logistics and technology needs.
  • Support staff retreats, including Think Forward Day, through arranging staff travel, preparing agendas, slide decks, pre-reading, and taking notes on site.
  • Check the CEO's functional email account daily, field requests, monitor inquiries coming into the national conference email address and respond accordingly.
  • Support the CEO on special projects as needed.

Other

  • Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and participating in professional societies.

    Required Qualifications

  • At least five years of experience providing administrative support to an executive
  • Associate's degree preferred; 8 years of experience working with an executive can be substituted for a degree.
  • Exceptional writer and editor.
  • Proficiency with the Microsoft Office Suite (Excel, Word, PowerPoint), Google Suite, CRM, Canva, etc.
  • Experience with conducting complex virtual meetings, including video platforms such as Zoom, Google Meet, etc.
  • Comfortable with heavy calendar management and interactions with internal and external stakeholders.
  • Excellent customer service ethic and high expectations for quality.
  • Experience in working with boards and senior team members.
  • Unquestioned integrity and commitment to Generation Hope's mission and values.
  • Proven interpersonal skills, including managing confidential information with tact and diplomacy.
  • Enjoys supporting an executive in achieving organizational goals.

  • Physical Demands

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 25 pounds at times.
  • Work Environment : Normal office environment. Some work will take place off-site during special events.

    Travel : This position requires national, overnight travel approximately 10% of the time for activities such as meetings and events in and out of the DC Metro area. Must be able to travel (via plane, train, or car).

    Candidates must be able to meet the onsite work schedule by the start date.
