JOB SUMMARY :

The Project coordinator is responsible for the effective and efficient administrative support of the HRSA grant to assist the project leadership in achieving the goals and objectives of the grant. This position provides support to the project director, the co-chairs of the research and curriculum committee, the chair of the evaluation committee, and other faculty and Residents involved in implementing the HRSA grant. This position requires knowledge of the details of the nofo and the specifics of our application. This position supports a HRSA grant for Preventive Medicine Residency.

MAJOR RESPONSIBILITIES / DUTIES / CRITICAL TASKS :

Provide administrative or clerical support to the project director, the co-chairs of the research and curriculum committee, the chair of the evaluation committee, and other faculty involved with the grant to accomplish the day-to-day operational needs of the residency.

Collect and enter data and work with project leadership on developing data reports and other periodic reports and communications to HRSA.

Composes routine correspondence such as form letters, acknowledgements, and notes.

Make travel arrangements and reservations specific to this grant per departmental policy.

Maintain appointment calendar, schedule meetings, distribute agendas and take and distribute minutes.

Prepare routine forms for reimbursements to include direct payments and requisitions.

Prepare budgets and perform contract accounting and reconciliations according to institution and sponsor requirements.

Track budget and expenditures.

Order and maintain supplies and equipment.

Assist with development and maintenance of data management system to capture project data.

Oversee the acquisition and management of process and outcome data related to the project.

Ensure effective communication and meaningful collaboration with FQHCs and other key stakeholders in the implementation of the project.

Work closely with GPM residents to gather feedback on project implementation in Realtime.

Assists faculty and residents with development of posters, presentations and manuscript from this project.

Use excellent oral and written communication skills in execution of this role.

Cordially and professionally relate to co-workers and community stakeholders.

Handle confidential / sensitive information with discretion and adherence to HIPAA rules.

Qualifications

REQUIRED EDUCATION / EXPERIENCE :

• Bachelor’s degree in public health, Community Health or a related field with relevant work experience will be considered.
• Two (2) years of health / clinical experience or equivalent.
• Combination of education and experience may be considered in lieu of degree.
