Grant Program Manager

Provide strategic support and comprehensive management for large-scale grant processes and research initiatives for the Division / Departments.

This role involves collaborating with Principal Investigators (PIs), the Office of Sponsored Programs, and other stakeholders to ensure the successful submission, management, and compliance of grant proposals to both federal and non-federal sponsors.

The position also supports the

development, implementation, and evaluation of research initiatives and assists in strategic planning efforts for the department.

KEY FUNCTIONS :

Strategic Planning & Program Administration :

  • Participate in strategic planning for the Division / Departments, focusing on research programs, financial sustainability, and grant funding.
  • Develop and implement strategies to enhance internal and external collaboration.
  • Coordinate educational and scientific activities to foster new agreements and opportunities with external stakeholders.
  • Represent the department in various settings to increase visibility and impact, including committees, professional societies, and external collaborations.
  • Identify risks, facilitate mitigation strategies, and flag issues requiring adjustments.
  • Assist in recruiting, interviewing, and hiring new staff, and contribute to staff evaluations.
  • Organize team-building activities, staff retreats, and training sessions as needed.

Research / Grant Administration & Management :

  • Provide comprehensive administrative planning and management for pre-award and post-award grant initiatives, including large-scale multi-project grants.
  • Communicate and negotiate with all levels of stakeholders regarding grant processes and decisions.
  • Mentors and develops others in the grant program process.
  • Interact with granting agencies to obtain information on future funding opportunities and act as a resource for faculty regarding relevant grants.
  • Assist investigators in preparing grant budgets and justifications, ensuring that administrative staff have the necessary forms and regulatory requirements.
  • Communicate with the Office of Research Administration, Grants and Contracts Accounting, and funding agencies regarding grant preparation and submission.
  • Review grant applications and progress reports to ensure quality and regulatory compliance.
  • Assist in the transfer of existing grants from other institutions and manage sub-contract requirements as necessary.
  • perform budget analyses, revisions, and facilitate the establishment of new chart-field strings for grant activities.

Award Management :

  • Monitor active awards, assist with progress reports, and manage award closeouts.
  • Review grant and contract awards for restrictions and special conditions, and communicate these to recipients.
  • Assist in managing grant funds, fund allocation, and financial reporting.
  • Maintain accurate accounting records for grants, including reconciliation and reporting on grant-related programs.

Financial Management :

  • Conceptualize, design, and implement systems, procedures, and reports for financial budgeting and expenditures.
  • Maintain financial spreadsheets and conduct financial forecasts and analyses.
  • Perform expense verification and reconcile financial transactions related to personnel and operations.
  • Resolve financial issues such as expense transfers, reallocations, tracking revenue, invoicing, clearing of deficits, and closeouts.
  • Assist in the annual budget process, including the preparation, review, and analysis of departmental budgets to ensure alignment with institutional priorities and financial goals.
  • Manage financial reviews with division, department, faculty, and institutional stakeholders.
  • Serve as a delegate authorizer or signer for expenditures, ensuring alignment with institutional policies.

EDUCATION :

Required : Bachelor's degree.

EXPERIENCE :

Required : Two years of grant management experience such as grant writing, grant submission and financial administration and one year of lead or supervisory experience.

May substitute required education degree with additional years of equivalent experience on a one to one year basis. Successful completion of the LEADing Self Accelerate and / or LEADing Self Discover programs may substitute for one year of required supervisory or management experience.

Completion of both programs can be substituted for a maximum of two years of supervisory or management experience.

Preferred : Grant Experience.

OTHER : Required : Must pass pre-employment skills test as required and administered by Human Resources.
