Position Summary
Westfield Outdoors is seeking a highly skilled and resourceful Executive Administrative Assistant to support the CEO, COO, and EVP of Product . Reporting directly to the COO, this role requires exceptional analytical ability, outstanding written communication, and advanced proficiency in Excel and PowerPoint
The Executive Administrative Assistant will serve as a trusted partner to leadership — preparing polished reports and presentations, tracking business initiatives, and ensuring priorities are executed with precision. The role will also provide secondary HR administrative support in coordination with our HR and payroll partners.

Key Responsibilities
Executive Support (Primary)
- Provide direct support to the CEO, COO, and EVP of Product with scheduling, meeting preparation, and project coordination.
- Attend and take detailed notes during executive meetings; synthesize discussion points into concise action items and polished summaries.
- Build, edit, and maintain professional-quality PowerPoint decks for executive-level communications.
- Develop, analyze, and maintain reports, models, and summaries in Excel to support strategic and operational decision-making.
- Coordinate quarterly and annual company meetings, including scheduling, communications, attendee management, catering, agendas, and materials.
- Manage occasional travel arrangements and logistics for executive leadership.
HR Administrative Support (Secondary)
Maintain employee records and ensure accuracy across HR systems.Post open positions, coordinate recruiting logistics, and support interview scheduling.Assist with onboarding paperwork, benefits administration, payroll coordination, and compliance tracking in partnership with outside providers.Support the performance review process and other employee lifecycle activities.Qualifications
5+ years of experience in executive administrative support or a similar role supporting senior leadership.Expert-level proficiency in Microsoft Excel and PowerPoint (must demonstrate strong analytical and presentation-building skills).Exceptional written communication skills with the ability to prepare professional, concise summaries and reports.Strong organizational skills, attention to detail, and ability to manage multiple priorities in a fast-paced environment.Professional presence with the ability to interact confidently across all levels of the organization.HR experience preferred but not required if willing to learn.Flexibility to work occasional evening hours from home to support global meetings.Work Environment
