Why does the job exist?
The Office & Administrative Support Worker - Supervisor will:
- Provide and coordinate administrative support services for the Health Care Authority (HCA) Income Support Division (ISD) Bernalillo County Office, County Director, Line Managers and staff;
- Provide support services for all areas of client and customer service in the reception area, to include handling information requests, and performing clerical and secretarial functions;
- Direct and coordinate the execution of fiscal, property management, personnel, and management information systems activities;
- Supervise and direct the clerical unit, ensuring that the unit meets standards set by state and federal guidelines, as well as incentive measures.
How does it get done?
The Office & Administrative Support Worker - Supervisor is responsible for:
- Providing and coordinating office administrative and secretarial duties, to include assisting the County Director and Line Managers with personnel actions and maintenance of employee personnel files;
- Providing administrative support for interviews, personnel action forms, correspondence, reports, and memos;
- Serving as leave and time sheet monitor, employee benefit coordinator, and assisting new employees with completing new employee packets;
- Providing effective and efficient fiscal support in compliance with HCA and Department of Finance (DFA) rules and regulations, to include assisting with budget preparation and maintenance of a monthly budget spreadsheet of expenditures;
- Preparing accurate and timely requisitions and travel vouchers and receipting invoices within five (5) days;
- Supervising clerical, office, and administrative support staff, to include time sheet and leave authorization;
- Mentoring, establishing and evaluating performance criteria, annual evaluations, performing disciplinary actions if needed, and ensuring proper and sufficient training is obtained by subordinates.
Who are the customers?
- External customers including employers, Courts, and contractors;
- Internal customers including the County Director, Line Managers, field staff, Attorneys, State Disbursement Unit, and The Centralized Enforcement Unit.
Ideal Candidate
The Ideal Candidate has experience:
- Responding to inquiries from staff in regards to personnel issues utilizing State Personnel Office (SPO) rules and regulations as well as HCA policies and procedures;
- Utilizing excellent communication skills (both verbal and in writing);
- Utilizing professional etiquette while communicating in person or on the telephone;
- Organizing, prioritizing, being detail oriented and focused;
- Supervising, monitoring, and evaluating staff.
Minimum Qualification
High School Diploma or equivalent and six (6) months of directly related experience in office administration. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling six (6) months may substitute for the required experience.
Employment Requirements
Must possess and maintain a valid Driver's License.
