Job Description :
We are seeking a proactive and detail-oriented Executive Assistant with experience supporting legal professionals or law firm leadership. The ideal candidate will possess a strong background in administrative operations within legal or professional services environments, demonstrating exceptional organizational and communication skills. Prior experience working with firms in the Australian or UK legal market is highly advantageous.
Responsibilities :
Provide high-level administrative support to lawyers and legal teams, including managing calendars, meetings, and travel arrangements.
Draft, review, and format legal correspondence and administrative documents with accuracy and professionalism.
Manage email inboxes, flagging high-priority items and ensuring timely responses.
Organize and maintain confidential legal files and case documents, ensuring data security and compliance with legal privacy standards.
Coordinate billing, timekeeping, and expense reporting activities.
Serve as the liaison between clients, external parties, and internal legal teams.
Support virtual meeting logistics including agenda creation, minute taking, and task follow-ups.
Assist with onboarding and workflow setup for new legal team members.
Requirements :
Minimum of 3 years experience as an Executive Assistant or Legal Assistant, preferably within a legal or professional services setting.
Demonstrated familiarity with legal administrative processes and terminology.
Strong written and verbal communication skills.
Experience using legal practice management software (e.g., Clio, LEAP, Actionstep) and productivity tools such as Microsoft Office or Google Workspace.
Prior experience working with Australian or UK-based law firms is a significant advantage.
Strong time management, prioritization, and problem-solving abilities.
Proven ability to handle confidential information with discretion.
Self-motivated with the ability to work independently in a remote environment.
