Community Relations & Communications Representative - Principal Council Executive Assistant

Your impact

  • Under the supervision of the Chief of Staff, directly support the Councilmember with various requests and special projects.
  • Respond to citizen requests, conduct research, and prepare correspondence.
  • Conduct research and analysis on topics related to public policy, operational programs, agenda items, etc., and prepare oral and written reports of findings to the City Councilmember.
  • Greet and direct visitors; provide general support to staff and guests.
  • Manage and produce monthly newsletters for the Council office.
  • Act as primary field representative for the office of the Councilmember.
  • Organize and staff Councilmember booth / table at official City of Irvine events and other organization events.
  • Attend City business-related meetings with and / or on behalf of the City Councilmember as requested; assemble and distribute meeting follow-up information as requested.
  • Exercise appropriate judgment in answering questions and releasing information and in analyzing and projecting consequences of decisions and / or recommendations.
  • Frequently interact with constituents, including responding and documenting constituent inquiries, case management, and serve as one of the first points of contact for all incoming electronic communications.
  • Assist in drafting memos for city council agenda items.
  • Support the coordination and execution of events and projects.
  • Provide constituent service and assistance to residents with questions, comments, or complaints.
  • Monitor social media, print media, and online sources related to community news and needs.
  • Draft written materials, including talking points, newsletter, media content, press releases, and more as needed.
  • Design office marketing materials, such as logos, graphics, and flyers.
  • Assist with communicating with Commissioners and Committee members for policy ideas and updates.
  • Availability during evenings and weekends to coordinate and staff community events, meetings, and outreach activities.

Minimum Qualifications

  • High school diploma or equivalent with some clerical experience, or any combination of education and experience that provides equivalent knowledge, skills, and abilities. May require a valid California drivers license.
  • Preferred Qualifications

  • Bachelors degree in political science, communications, business, or related field, and at least three to five years of relevant government, political, or communications experience, or any combination of education and experience that provides equivalent knowledge, skills, and abilities.
  • Experience managing multiple projects while meeting deadlines and staying organized.
  • Experience working with elected officials and their staff.
  • Experience working directly with political organizations or campaigns within the region.
  • Excellent interpersonal skills and comfortable interacting with business leaders, government officials, and constituents.
  • Experience working with most social media platforms, such as Facebook, Instagram, Canva, Capcut, Youtube, Mailchimp, etc.
  • Strong verbal and written communication skills.
  • Must be able to work some evenings and weekends as assigned.
  • Bilingual in Chinese preferred but not required.

  • Experience in event planning and managing lists / databases in Microsoft Excel.
