Project Manager – Client Delivery & Workflow Operations
We’re looking for an experienced, proactive Project Manager to take full ownership of our client delivery pipeline and help us maintain exceptional service year-round — while keeping busy season under control. This role is central to the firm’s operations and reports directly to the partners. You’ll act as the operational engine of the practice : driving work forward, eliminating roadblocks, and ensuring the quieter months are used strategically so deadlines never pile up.
Key Responsibilities
- Manage a high-volume portfolio of 100–250 active client projects at any given time (tax, accounting, audit, and advisory), with complete visibility into the real-time status of each.
- Maintain steady momentum throughout the off-season (May–June and November–December) by working extensions, planning projects, and collecting missing documents early — completing as much work as possible well before January and September peak periods.
- Build and implement weekly and monthly “get-ahead” plans to reduce busy-season workload.
- Track daily and weekly progress across all open projects, immediately addressing bottlenecks such as missing information, staffing gaps, or shifting scope.
- Balance workloads across the team to maintain consistent productivity while preserving capacity for legitimate urgent work.
- Serve as the primary point of contact for client updates, document requests, and status communication — always professional, clear, and persistent.
- Lead structured pipeline review meetings with partners and drive follow-up actions.
- Improve internal processes continuously, refining templates, checklists, automation, and communication workflows.
- Ensure all compliance steps are completed on time, including engagement letters, organizers, consents, and conflict checks.
Requirements
5+ years of project management or workflow management experience within a CPA firm, bookkeeping practice, or similar professional services environment.Demonstrated ability to move work forward during slower periods and materially reduce busy-season pressure by completing extension and planning work early.Strong understanding of tax and accounting workflows, processes, and common systems.Exceptional organizational skills and follow-through; comfortable communicating firmly and diplomatically with both clients and internal teams.Highly data-driven — comfortable using dashboards, metrics, and reporting to create operational plans and prioritize work.
