ABOUT THE ROLE: EVENTS COORDINATOR (PART-TIME)
Thepart-timeEventsCoordinatorâwillassistwith the full lifecycle of IRIevents including eventcoordinationand managementcommunications and marketing and vendor relations andlogistics with the goal of raising awareness of IRIs story workand mission around the will also support events at the Events Center in IRIs Headquarters Office Building that are not directly affiliated with position reports to theSenior Manager for External Engagement andDevelopmentandwill work closely withthe Executive Vice President and othersacross IRI.ââ
This positionis located inWashington expected to work in-office threeor moredays per week based onthe eventscalendarand otheremergingpriorities.
This position is expected to work 2025 hours per week. The role will begin on a part-time basis with the potential to expand into a full-time position based on organizational needs workload and funding availability.
KEY RESPONSIBILITIES
- Assistwith all aspects oforganizing and implementing all types ofevents and meetings including internal IRI events IRI eventswith external stakeholders and non-IRIevents at theHeadquarters Building;
- Manage the IRIevents calendar and develop event materials includinglogisticsand staffing plans event checklists and run of shows;
- Coordinate withIRI staffevent co-hosts sponsorsandpartnerson all aspects of eventsincludingvenue requirements event technology signageand branding invitations registration systemsandothereventmaterials;
- Coordinatewalkthroughs of the HQ Event Center for prospective users explaining room capabilities and set-up options;
- Collaborate withExternal Affairsstaffon event outreach and promotion;
- Measure trackand report on event outcomes including event surveys and attendance tracking;â
- Work with vendors and process contracts and payments to and for vendors;
- Participate in eventsand event preparation at other venuesoutside of the office;â
- May require occasional work outside of normalbusinesshours;â
- Other responsibilities as assigned.â

WHAT WERE LOOKING FOR
We seek a passionate and experienced individual with:
- Minimum 2years of experience directlyassistingwith in-person and virtual events of all sizes with diverse stakeholders and audiences;â
- Experience organizing events including coordinating staff volunteers vendors and others contributing to the execution of events;â
- Ability to think strategically while also focusing on and executing details;â
- Professional demeanor and excellent interpersonalskills torepresentIRI and interface with external stakeholders;â
- Experience with contact management systems and virtual events platforms;âexperience with HubSpot and Eventbrite are a plus.
- Strong time management skills anddemonstratedattention to detail;â
- Strong oral and written communications skillsincluding the ability to leadlogisticsmeetings liaise with vendors and prepare event-relatedmaterials(checklistslogisticsdocumentation reports and meeting summaries);
- Strong task management and organizational skillswith the ability to set priorities and balance competing demands;
- Basic understanding or willingness to learn about A/V systems for events;
- Proficiencyin Microsoft Office 365 Suite (Excel Outlook PowerPoint Word) as well as Teams Zoom and SharePoint.
Preferred qualifications:
- Experience implementing communications and/or marketing in support of events;
- Bachelors degree.
IRI TOTAL COMPENSATION
The anticipated compensation range for this position is $24/hour to $28/hour USD.
The pay for this position is determined based on a wide variety of factors including but not limited to an individuals professional experience qualifications education and other business needs along with internal equity considerations. Employees are not typically hired at the top of the range for their role and compensation decisions are made based on the aforementioned considerations.
Due to this role being part-time it is eligible for limited benefits.
