Direct collaboration with : Senior leadership team, including Research, Field, Legal / Compliance, Finance, Digital / Comms, and external coalition partners

ICC’s leadership is managing an extraordinary volume of strategic, operational, and external engagement activity — including travel, board meetings, donor relations, coalition briefings, and media work. The Chief of Staff (CoS) will bring clarity, coordination, and follow-through to the CEO and COO’s work, driving organizational alignment, ensuring nothing falls through the cracks, and making our senior team more effective and focused.

- Operating rhythm established — weekly priorities, decision logs, and prep / debrief cadence for CEO / COO.
- Calendar mastery across time zones, including proactive scheduling, holds, and conflict management.
- Executive travel coordination — design and support efficient itineraries for senior executives (up to 40% travel).
- Board & donor operations — manage briefings, materials, follow-ups, and communications.
- Cross-team coordination — ensure interdepartmental projects stay on track and aligned with leadership goals.
- Security and vendor logistics — single point of contact for high-priority coordination across ICC and partners.
Core Responsibilities
Executive Operations & Coordination
Manage complex calendars for CEO and COO; prioritize meetings and ensure preparation materials are ready.Draft correspondence and ensure high-stakes communications are polished, accurate, and timely.Prepare concise briefing memos for key engagements; capture decisions and follow up on action items.Major Event Programming & Logistics
Lead the planning and execution of ICC’s major national events , including leadership summits, retreats, conferences, and coalition convenings.Coordinate across departments to develop agendas, manage speakers, oversee production logistics, and ensure flawless on-site execution.Partner with external vendors and venues on contracts, AV, catering, security, and travel arrangements.Manage timelines, budgets, and staff assignments to ensure seamless delivery and a professional attendee experience.Travel & Event Logistics
Plan and coordinate executive travel, including flights, accommodations, venues, and event logistics.Occasionally accompany senior executives (up to 40% of time) to provide on-the-ground coordination and operational support.Create and maintain detailed itineraries and contingency plans for travel and events.Board, Donor, and Partner Engagement
Oversee board meeting logistics : materials, decks, invitations, minutes, and follow-ups.Support donor communications and meeting prep, ensuring thank-yous, follow-ups, and deliverables are completed.Cross-Organizational Coordination
Run ICC’s Operations & Intelligence Briefs : agendas, notes, and next-step tracking.Serve as a connective tissue between departments — ensuring clarity, accountability, and progress.Systems & Process Management
Maintain organization across Google Workspace and Box; ensure consistent file structure and documentation.Implement lightweight project management tools to track priorities and key deliverables.Confidentiality & Professionalism
Handle all sensitive information and logistics discreetly, with the highest degree of judgment and trust.Qualifications
7–10+ years in a Chief of Staff, Senior EA, or Executive Operations role supporting C-suite leaders.Proven success managing complex schedules, travel, and confidential correspondence.Strong writing, communication, and analytical skills.Expert with Google Workspace and Box , plus familiarity with project management software.Highly organized, anticipatory, and calm under pressure.Willingness and ability to travel up to 40% of the time with senior executives.U.S. work authorization and ability to pass a background check.Bonus : Experience in Jewish communal life, pro-Israel advocacy, campus affairs, public policy, or high-profile nonprofit or political operations.What Success Looks Like
