Executive Assistant
We are looking for an experienced and proactive Executive Assistant to provide high-level administrative support to our executive team. This Contract-to-Permanent position is based in Dallas, Texas, and requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities with discretion. The ideal candidate will excel in a fast-paced environment, ensuring smooth office operations while maintaining confidentiality.
Responsibilities :
- Manage complex calendars for executives, including scheduling appointments and coordinating meetings.
- Organize and book travel arrangements, including itineraries, accommodations, and transportation.
- Prepare and edit detailed documents, such as reports, presentations, and correspondence.
- Support board meetings by coordinating agendas, preparing materials, and following up on action items.
- Oversee daily office operations, including supplies management, vendor coordination, and workspace organization.
- Act as the primary point of contact for IT, Facilities, HR, and service providers.
- Assist with employee onboarding and offboarding processes, ensuring smooth transitions.
- Plan and manage office events and meetings, including catering, setup, and travel arrangements for attendees.
- Run errands and provide transportation for executives or board members as needed.
- Track deadlines, priorities, and tasks to ensure timely completion of executive objectives.
Requirements :
Proven experience in an executive assistant or similar administrative role.Advanced proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.Strong organizational and time-management skills with the ability to prioritize effectively.Exceptional written and verbal communication skills, including editing and proofreading.Ability to handle sensitive and confidential information with professionalism.Experience managing travel arrangements and expense reporting systems such as Concur or Expensify.Strong interpersonal skills with the ability to build relationships across various levels of the organization.Self-motivated and capable of working independently while maintaining a high level of accuracy.
