Job Description
The Department Assistant I will support the operations of the OCII by assisting the staff, researchers, and instructors with the administrative requirements of the Institute.
The position will assist the OCII team with organization, communications, record production and retention, among other administrative tasks.
Essential Duties :
- Organizing key staff calendars, travel, appointments, and scheduling their activities to ensure coverage of the office and key events.
- Support the planning and recording of OCII meetings, along with creating and maintaining an electronic filing system that meets the needs of Federal, State, and University records requirements and assisting in the preparation of regularly scheduled reports.
- Act as liaison with internal and external stakeholder requests and queries.
- Maintain the OCII website
- Other related responsibilities as assigned.
Required Qualifications MINIMUM QUALIFICATIONS :
- An Associate’s Degree in a relevant field
- Technical literacy and 2 years of job experience working with the Microsoft Office applications.
Preferred Qualifications PREFERRED QUALIFICATIONS :
- A Bachelor’s Degree in a relevant field
- 5 years of job experience using MS Office
- 2 years of job experience using the Adobe Creative Suite
- Excellent communication skills, mature interpersonal style, and the ability to interact with a diverse range of people, strong team work skills, strong organizational and time management skills, and a desire to collaborate and be part of the team.
- Experience with creating and maintaining a database.
Physical Demands
- Typing / Keyboarding : Proficiency in typing and using a computer keyboard for extended periods.
- Speaking : Ability to communicate effectively both verbally and in writing.
- Reaching : Ability to reach for items on shelves or in cabinets.
- Manual Dexterity : Ability to use hands and fingers to operate office equipment, handle files, and perform other tasks.
