Job Summary :
The Accounts Payable Manager is responsible for managing the full-cycle accounts payable process, including invoice processing, payment execution, and resolving payment discrepancies.
Essential Functions :
- Oversee, review, and process a high volume of invoices and other transactions for timely payment
- Communicate with and assist departments regarding the receiving and approval of invoices. Secure appropriate approvals and ensure compliance with internal payment policies
- Ensure costs are assigned to the correct general ledger accounts
- Research and reconcile any invoice balance and credits and communicate with vendors regarding invoice discrepancies and invoice payments
- Manage weekly disbursements via check runs, ACH, EFT, and outgoing wire payment transactions in both US dollars and foreign currency
- Reviews and processes independent contractor payments for US and Non-US vendors
- Processes and ensures filing of 1099 and 1042.
- Review accounting and accounts payable procedures and reports for accuracy, and recommend changes or improvements in the Conservatory's accounting processes, operations, and internal control processes.
- Assist in the implementation of new technologies to improve administrative processes
- Provide excellent customer service, interacting with Conservatory colleagues and vendors.
- Establish and maintain cooperative working relationships to accomplish the objectives of the Business Office.
- Educate Conservatory faculty and staff regarding Accounts Payable policies and procedures.
- Maintain knowledge of tax compliance for vendor requirements relating to accounts payable and ensure systems and processes are in place for full compliance for US and Non-US vendors.
- Provide reports and reconciliations to support processes. Ensure compliance with federal and state regulations governing payments for vendors, including companies and consultants.
- Attend trainings as required and assist in all areas of the Business Office as needed.
- Back up to other accountants and staff during vacation, personal, sick, and peak times
- Perform other duties as assigned
Qualifications :
