Job DescriptionScope of Department : The Patient Experience Department is responsible for supporting a patient and family-centered culture and leading initiatives designed to evaluate and improve the patient experience.

Departmental functions include patient experience measurement and strategy, patient relations, patient and family advisory programs, interpreter services, pastoral care, and information desk services.

The Patient Experience Department is responsible for meeting accreditation and regulatory standards related to patient rights, organizational ethics and resolution of patient concerns.

The Patient Experience Department is generally open from 8 : 00am to 4 : 30pm, but additional hours during the week and weekends may be required by our interpreter staff to help meet patient needs and schedules.

Interpreter services are provided 24 / 7.Scope of Position : The Ohio State University Wexner Medical Center is committed to enhancing the quality of care provided to patients.

Interpreter services are a direct and critical aspect of effective patient care, patient satisfaction, and are directly linked to the promise of providing personalized healthcare to improve people’s lives.

They are also required by federal law in order to receive federal funding (Medicare & Medicaid). Interpreter services at OSUWMC are provided via three principal modalities, and by interpreters who are trained and qualified in medical interpreting.

The modalities are : 1. Over-the-Phone (OPI) 2. Video Remote (VRI) and 3. Onsite Staff (contracted agencies & OSUWMC onsite staff).

Interpreter Services’ primary role is to respond to the need of our culturally diverse patient population by ensuring that information is accurately communicated between Limited English Proficient (LEP) patients and healthcare providers or support personnel.

Additional responsibilities include, but are not limited to providing guidance to other staff and contracted agency interpreters, educating health system personnel regarding interpreter services, reminding patients of their appointments / procedures, assisting our health system staff with troubleshooting issues with our resources such as telephone or video, and collecting and analyzing data with respect to evolving LEP needs and trends.

Position Summary : The Program Coordinator for Interpreter Services’ primary role is to assist the Interpreter Services department in partnership with others by coordinating and scheduling The Ohio State University Wexner Medical Center staff and agency interpreters, in addition to assigning telephone and video language services to respond to the communication needs of the Limited English Proficiency (LEP) and Deaf and Hard of Hearing patients.

The program coordinators also provide guidance and training for OSUWMC interpreters and contracted agency interpreters; facilitate relationships with contracted agencies and internal customers;

coordinate appointment schedules in a safe, cost effective and clinically appropriate manner to provide the appropriate level of care and interpreter resource for our linguistically diverse population.

  • The position maintains and updates the interpreter scheduling IHIS database; authorizes purchase orders and monitors expenditures;
  • prepares and analyses monthly reports; investigates and resolves problems and concerns; develops and maintains budget and expenditure reporting;
  • monitors and improves IHIS scheduling and remote interpreting resources, at times working closely with IT regarding software functionality, technical connections, equipment types and standards with purchasing and contracted agencies;

conducts and assures appropriate payment and reimbursement practices within the medical center and with contracted agencies.

Minimum Education Required Bachelor’s degree or equivalent combination of education & exp.

Required Qualifications

Proven record of strong organization and multi-tasking skills. Customer service, interpersonal, conflict resolution, problem solving, communication & computer skills including office automation technology.

  • Ability to collaborate; prepare moderate to complex documents; multitask under pressure; perform math calculations; communicate / work with a diverse population;
  • handle sensitive information / inquiries; collect data, establish facts & draw conclusions; train, develop & supervise staff;

establish / maintain collegial work environment; carry out instructions and resolve complaints. Knowledge of standard office practices & procedures.

Preferred : At least 1 year in a call center environment in a health care setting in interpreter services; fluent in a second language with demonstrated competencies / experience in medical interpreting.

Proficiency with Epic electronic medical record system and Excel.
