We are looking for a dedicated and detail-oriented Office Manager to join our team on a long-term contract basis in Quincy, Massachusetts. This position will play a vital role in ensuring smooth office operations, including administrative tasks, vendor coordination, and document management. The role offers a part-time schedule, providing flexibility while maintaining a consistent and reliable presence in the office.
Responsibilities :
- Process accounts payable transactions efficiently and accurately.
- Organize and maintain office documentation, including filing, scanning, and tracking records.
- Manage incoming and outgoing mail to ensure timely distribution.
- Coordinate schedules and maintain calendars to support office activities.
- Build and maintain positive relationships with vendors, addressing any operational needs.
- Order and manage office supplies to ensure resources are readily available.
- Perform receptionist duties, including greeting visitors and handling inquiries.
- Support additional administrative tasks as assigned to maintain office functionality.
- Proven experience in administrative and office management roles.
- Proficiency in accounts payable processes and financial documentation.
- Strong organizational skills with the ability to manage multiple tasks effectively.
- Excellent communication skills to liaise with vendors and office personnel.
- Experience in maintaining office supplies and handling procurement.
- Ability to perform receptionist duties with professionalism and a welcoming demeanor.
- Familiarity with document tracking and management systems.
- Capability to work part-time hours, including Mondays and flexibility for additional days.
