Position Summary :
The Administrative Assistant provides comprehensive, high-level support to the Division Director of Oncology and the broader oncology faculty and staff within the Department of Urology, ensuring the smooth operation of both clinical and academic functions. This role requires a proactive, detail-oriented individual who can anticipate professional needs, manage complex and confidential tasks, and serve as the first point of contact for the Division Director's office. Key responsibilities include managing calendars, coordinating meetings and speaking engagements, arranging complex travel plans and itineraries, and preparing related documentation and financial requests using Workday. The assistant supports faculty promotion and tenure processes, maintains an up-to-date CV for the Division Director, and assists with faculty recruitment and fellowship programming. They also manage credentialing for faculty and Advanced Practice Providers (APPs), facilitate onboarding for new hires in collaboration with HR, and assist the division administrator with various administrative functions. Operational duties include maintaining inventory and ordering supplies for administrative offices and the EEI clinic, troubleshooting departmental issues, and providing backup support in the absence of the division's administrative coordinator, including phone coverage. The assistant represents the department in meetings, takes and transcribes minutes, and contributes to special projects and strategic planning by researching and summarizing data requested by division, department, and OSU Medical Center leadership. As the department's go-to expert for Workday processes, they provide guidance and troubleshooting support, while leveraging Microsoft Office toolsparticularly Excelto create and maintain reports, publications, and presentations that support departmental needs. Other duties may be assigned as necessary to support the evolving needs of the division.
