Administrative Assistant 3, Public Health Programs

Public Health Laboratories, Shoreline, WA | Onsite / In Person | PROJECT funded though July 31, 2026

The opportunity : We're seeking an experienced, detail-oriented professional to join our Office of Communicable Disease Epidemiology (OCDE). In this role, you'll provide vital administrative support to the Healthcare-Associated Infections and Antimicrobial Resistance (HAIAR) Section, helping ensure our teams can focus on what matters most, protecting communities from communicable diseases and health threats. This is an exciting opportunity to play a meaningful role in public health while supporting teams working at the frontlines of disease surveillance, prevention, and response.

What you'll do

As the go-to administrative support for the section, you'll keep things running smoothly behind the scenes. Your work will touch on everything from daily operations to project coordination, helping the office deliver its mission effectively.

Key responsibilities include :

  • Administrative operations Manage procurement requests, invoices, purchase orders, training approvals, payroll support, and leave / overtime processing.
  • Team support Handle scheduling for leaders, organize section meetings, and provide SharePoint and file management support.
  • Representation and communication Serve as a point of contact, field calls from health partners and the public, and represent leadership in meetings as needed.
  • Travel coordination Guide staff through travel policies, process approvals, and keep records accurate and compliant.
  • Personnel support Maintain personnel files, track equipment, manage onboarding / offboarding processes, and keep organizational charts updated.
  • Collaboration Partner with other administrative staff across OCDE to ensure consistency and continuity in office operations.

    Required qualifications

  • Option 1 : Three (3)+ years of clerical, office or administrative experience supporting a supervisor, manager, or professional in a professional office environment.
  • Option 2 : One (1) year of experience as an Administrative Assistant 2 or two (2) years as an Administrative Assistant 1 with in government agency.
  • Option 3 : Associate's degree or higher in business administration, office management, or a related field AND 1+ years of clerical, office or administrative experience supporting a supervisor, manager, or professional in a professional office environment.
  • AND the following experience, knowledge, skills, and abilities :
  • Familiarity with general office software (e.g., word processing, spreadsheets, email, and collaboration tools) and standard administrative procedures for scheduling, correspondence, and records management.
  • Intermediate or higher proficiency in Microsoft Office Suite (Word, Outlook, Excel)
  • Demonstrated experience handling confidential and time-sensitive information with discretion and professionalism.
  • Ability to draft and edit professional communications, organize meetings and events, and manage travel or expense processes using digital tools.
  • Experience in preparing reports, documenting meeting outcomes, tracking tasks, and supporting hiring processes (e.g., coordinating interviews, managing applicant data).
  • Experience with financial tasks (e.g., expense tracking, invoice processing) or inventory management in a professional setting.
  • Preferred / desired knowledge, skills, abilities, and experience :

  • Bachelor's degree in business administration, office management, or a related field.
  • 2+ years of administrative support experience in a government, public health, or healthcare setting.
  • Proficient in Microsoft SharePoint for document management and organization.
  • Proficient in Microsoft Visio for creating and editing organizational charts, flowcharts, and diagrams.
  • Familiarity with state or organizational policies and management practices (e.g. reimbursement policies, procurement and ordering policies, WACs, RCWs)
  • Demonstrated experience working with state or organizational policies and management practices in an administrative or clerical capacity (e.g. reimbursement policies, procurement and ordering policies, WACs, RCWs) in a recent role (within the last 2 years).

    Work environment & physical requirements

    The position involves the following, with or without reasonable accommodation :

  • Work Setting, including hazards : The position is located at the Public Health Laboratories in Shoreline, WA. Work is performed almost exclusively indoors in an office environment. Exposure to hazards is limited to those commonly found in government office environments. This position is eligible for "mobile work" including telework or home-basing in locations in Washington State or in adjacent communities bordering the state.
  • Schedule (i.e., hours and days) : Standard business hours are Monday Friday from 8 a.m. to 5 p.m. May be expected to adjust work schedule or work more than 40 hours per week to meet business needs. A flexible or alternate work schedule may be considered at the incumbent's request, subject to supervisory approval.
  • Travel Requirements : Travel statewide and out of state when necessary to perform the core functions of the position. This may require overnight or multiple nights lodging. Legally operate a state or privately-owned vehicle OR provide alternative transportation and travel long distances in both daylight and at night, and in snow and rain conditions.
  • Tools and Equipment : Duties require the use of standard office furniture and equipment (e.g., desk, filing cabinet, computer, printer, telephone, fax machine, copy machine, etc.)
  • Customer Interactions : Frequent contact (likely daily) with clients.
  • Representation : This position is covered by a bargaining unit for which the Washington Federation of State Employees (WFSE) is the exclusive representative.
