Our client, a successful professional services firm based in Atlanta, GA, has engaged us to place a high-caliber, professional, polished, sophisticated, proactive, tech-savvy, and exceptionally organized individual in the role of Executive Assistant (EA) to the CEO . The CEO has a lot of demands on his time, travels frequently, and is in need a strong right hand / gatekeeper and career EA that thrives under pressure, operates at the top of their game, and understands the importance of building & maintaining professional relationships. The EA should be able to prioritize & manage multiple priorities in a busy, fast-paced environment, collaborate seamlessly across the organization, partner effectively with the Chief of Staff, utilize AI tools provided by the company to work more efficiently, and move with the pace, intensity & energy that defines how the CEO operates. The CEO appreciates someone with an entrepreneurial mind, and welcomes and appreciates ideas. This is a great, long-term opportunity (for the right fit!). Minimal domestic travel up to 10%.
The EA will act as an ambassador and extension of the CEO, and provide administrative, logistical & project management support (& some light personal), allowing the CEO to focus on moving the company's goals and initiatives forward. The EA will be entrusted with sensitive & confidential information, displaying the highest level of discretion & trust at all times.
The ideal candidate has a type-A work style, strong intellect & business acumen, positive & calm can-do attitude, dedicated work ethic, high personal standards of integrity, is personable, courteous, composed, sharp, tactful, resourceful, and forward-thinking. Exceptional attention to detail, excellent communication and time-management skills, and an ability well as work well independently & as a team is essential in this role.
Hours : 8am-5pm with flexibility to adjust accordingly depending on the needs of the CEO. Additional flexibility is needed to receive communications / requests outside of normal business hours, responding to urgent needs immediately, and prioritizing others accordingly (next business day, etc.).
Hybrid aspect : The EA will be expected to be in the office when the CEO is (3 days / week on avg. - could be more or less depending on his travel). While the EA is not required to be in the office when the CEO is out and may opt to work remotely, it is encouraged to be to some degree to build relationships and be the face in the office in his absence.

Key Responsibilities Include (but not limited to) :
- Serve as a liaison for the CEO's office, ensuring clear communication and confidentiality
- Act as a gatekeeper, providing a bridge for smooth communication between the CEO, his direct reports, company staff and outside parties
- Work hand-in-hand, partnering effectively with the Chief of Staff in support of the CEO
- Coordinate with high-profile clients and stakeholders
- Proactively maintain the CEO's calendar, prioritizing relationships and the most time sensitive matters as scheduling conflicts & last minute requests arise
- Manage incoming calls, prioritizing & handling them appropriately to ensure smooth day-to-day engagements
- Keep the CEO well informed of upcoming commitments & responsibilities, following up appropriately
- Coordinate travel arrangements and logistics (private & commercial) for the CEO (& family as needed), create detailed travel itineraries, submit related expense reports, and prepare him for all travel as needed (ensure he has tickets, photo ID, passport, itineraries, etc.). Ensure seamless travel experiences with contingency planning for last-minute changes or disruptions; Maintain travel documentation, memberships, and preference profiles
- Build and maintain relationships with the CEO's core team / direct reports, personal and professional contacts
- Act as a "barometer," having a sense for the issues taking place in the office, keeping the CEO updated as needed
- Coordinate internal / external meetings, conference calls & video conferences, ensuring logistics are smooth & well-documented; Prepare materials & send reminders as needed
- Coordinate internal and external board meetings
- Assist corporate development team with events as needed
- Utilize modern productivity tools (including AI) with fluency; Maintain digital systems & workflows to increase efficiency; Manage & troubleshoot basic technology needs & serve as a liaison with tech support when necessary
- Embrace change, continuously refine processes, and maintain flexibility in an ever-evolving work environment; Comfortable with shifting priorities & dynamic environments while maintaining effectiveness
- Collaborate with other departments to gather information & facilitate cross-functional communication
- Manage, compose & prepare confidential correspondence (including NDAs), reports, & other complex documents, proofing & editing of all documents to ensure accuracy & consistency
- Manage, intercept, prioritize, delegate & respond to emails to streamline communication
- Manage confidential & sensitive matters with a high level of confidentiality & the utmost discretion
- Mentor administrative staff and act as a brand ambassador
- Liaise with personal & business associates, and clients as needed
- Prepare & track expense reports for approval
- Maintain address / contacts lists, and be proactive in recognizing when to send thank you notes, gifts, etc. to personal & professional contacts, and recognizing employee birthdays etc.
Provider personal assistance as needed (purchase personal / business related gifts, etc.)
