We are seeking an organized proactive and detail-oriented Administrative Assistant to support our staff and operations. This role is essential for maintaining smooth office functions and ensuring effective communication across departments.
Position Summary
The Administrative Assistant will provide clerical organizational and operational support to GSR Group. The role involves coordinating schedules handling correspondence maintaining records and assisting team members with administrative tasks to enhance efficiency and productivity.
The ideal candidate is professional dependable and capable of managing multiple priorities while maintaining confidentiality and a positive attitude.
Key Responsibilities
Administrative Support
Handle day-to-day office tasks such as filing scanning copying and managing documents.
Prepare and organize reports presentations and correspondence.
Manage calendars schedule appointments and coordinate meetings.
Assist with internal and external communications including emails and phone calls.
Operational Coordination
Maintain office supplies and ensure a well-organized work environment.
Assist with onboarding new employees and maintaining personnel records.
Support event planning and team initiatives as needed.
Coordinate with other departments to ensure timely completion of administrative tasks.
Data & Record Management
Maintain and update databases spreadsheets and digital records.
Assist in tracking budgets invoices and expense reports.
Ensure accuracy and accessibility of office documentation and reports.
Project & Team Assistance
Provide support for special projects as assigned by management.
Collaborate with team members to improve office efficiency and workflow.
Handle sensitive information with discretion and professionalism.
Qualifications & Skills
Required :
High school diploma or equivalent; Associates or Bachelors degree preferred.
13 years of experience in an administrative or office support role.
Strong organizational time-management and multitasking abilities.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word Excel Outlook PowerPoint) or similar tools.
Preferred :
Experience in a corporate or multi-department environment.
Familiarity with office management software or CRM systems.
Ability to work independently and take initiative in problem-solving.
