Remote 100% | Interview Schedule : One interview with possibility of 2nd interview
We are migrating third-party vendors to a new remote connectivity process and need a highly organized Project Coordinator to drive vendor outreach, track progress, and keep leaders informed. You'll be the day-to-day coordinator who ensures vendors understand the change, complete required steps on time, and that all milestones are visible and reported across the program.

What You'll Do
Vendor Engagement & CommunicationBuild and maintain the vendor contact roster and communication plan.Draft and send clear, professional vendor communications (emails, one-pagers, FAQs, timelines).Schedule and host vendor briefings; capture Q&A, decisions, and follow-ups.Track vendor readiness, testing, and cutover dates; escalate blockers promptly.Project Coordination & TrackingOwn the migration tracker (Excel or Smartsheet) : status by vendor, milestones, dependencies, and risks.Maintain RAID logs (Risks, Assumptions, Issues, Decisions) and action item lists.Coordinate meetings, agendas, notes, and next steps with internal teams (Network, Security, Identity, End User Services).Reporting & Exec-Ready DeliverablesProduce weekly status reports with RAG status, metrics, and narratives for management.Build concise, executive-ready PowerPoint decks for directors / leadership.Maintain a centralized source of truth (SharePoint / Teams) for artifacts, timelines, and reporting.Quality, Compliance & ChangeEnsure vendor changes align with security and compliance requirements (e.g., MFA, certificates, ZTNA / VPN standards).Coordinate tickets / changes in ITSM tools (e.g., ServiceNow / Jira) as needed.Document process updates and contribute to runbooks and handoffs for support teams.What You'll Bring
Experience : 3+ years in Project Coordination or migration-related coordination, ideally with third-party / vendor programs.Communication : Outstanding verbal and written communication; comfortable presenting updates to managers and directors.Organization : Strong multitasking, prioritization, and follow-through across many vendors and deadlines.Excel Expertise : Proficient with trackers, pivot tables, filters, conditional formatting; comfortable building dashboards and summaries.PowerPoint : Skilled at crafting clear, executive-level status slides and storytelling.Tools : Proficiency with Microsoft 365 (Excel, PowerPoint, Outlook, Teams, SharePoint). Experience with ServiceNow, Jira, Smartsheet, Planner, or MS Project is a plus.Technical Familiarity (Preferred) : Understanding of VDI and remote access concepts (VPN, ZTNA, MFA, certificates), network / security change processes.Education / Certs (Preferred) : Bachelor's degree or equivalent experience; CAPM, ITIL, or similar certifications are a plus.Work Conditions
Remote, standard business hours (US Eastern).This position has no travel requirements.The ideal candidate would have their own computer and would be connecting to our VDI infrastructure to work.ComputerMonitor (multi-monitors would be ideal)Audio (headphone w / microphone or speakers and microphone)Computer camera for meetings desired, but not required.While others say it, we do it : we care .
