About the Role : The Admin Assistant provides complex project support within the Administrative Services function. This role may also offer general administrative assistance to individuals or departments and occasionally guide or direct the work of others. The position operates with minimal supervision and often without established procedures, handling confidential information and supporting highly visible projects. At Boston Scientific, we value collaboration and synergy. This role follows a hybrid work model requiring employees to be in our local office at least three days per week. Relocation assistance is not available for this position at this time. Boston Scientific will not offer sponsorship or take over sponsorship of an employment visa for this position at this time.
Your Responsibilities Will Include : Performing general administrative duties such as photocopying, coordinating meetings and appointments, resolving calendar conflicts, typing, faxing, ordering and maintaining supplies, arranging travel, and preparing or sorting mail. Frequently interacting with individuals from outside organizations and key internal stakeholders, requiring tact, persuasion, and negotiation skills. Preparing communications, including purchase orders and facilitating payments for goods or services. Answering questions that may require interpretation of company policy. Serving as a key functional resource and providing guidance or training to others on department procedures. Managing confidential information, including non-public company data (e.g., acquisitions, business strategies, financial data). Developing and maintaining department documents, resources, and procedures. Translating complex or technical information into clear documents (letters, memos, presentations) and suggesting improvements to communications. Ensuring compliance with the Quality Policy and all documented quality processes and procedures. For those supervising others : maintaining resources to assure Quality System compliance and promoting a work environment that supports the Quality Policy.
Required Qualifications : A minimum of 6 years of relevant experience An Associate's degree or equivalent Ability to apply expertise to perform a variety of activities and assignments. Strong communication skills for evaluating and conveying complex information to internal and occasionally external stakeholders. Commitment to patient safety and product quality through compliance with quality policies and procedures. Ability to manage confidential information appropriately.
Preferred Qualifications : Experience providing specialized guidance or training to junior team members. Experience allocating work to others. Proven ability to solve complex, atypical, or infrequently occurring problems using established processes and precedents. Demonstrated ability to develop improvements to existing processes and procedures for greater team efficiency. Experience impacting both own team and related teams through process improvements. Familiarity with continuous quality improvement methods.
