Responsibilities

Facilitating Communication and Coordination :

  • Serves as the first point of contact for Jobs Plus program members, visitors funders – i.e. HRA), and stakeholders (i.e. employment and training partners), essential to projecting a positive and welcoming environment.
  • Responsible for answering the switchboard calls in a timely manner. This is important as it ensures that Jobs Plus members receive timely assistance. It also allows for prompt, efficient and accurate routing of calls and messages to the appropriate Jobs Plus staff.
  • Disseminate information to program members, funders and community based partners. This includes providing information about program details, eligibility, and services.

Supporting Program Operations :

  • Handles office management, which can include daily office tasks, for Jobs Plus, managing supplies, and maintaining an organized and professional environment
  • Assist with the enrollment process for new members
  • Helps with coordinating meetings, trainings, and appointments, as well as helping with logistics for events and workshops on behalf of the program.
  • Support process of requisitions, invoices, etc. including the procurement of program supplies, equipment, etc.
  • Enhancing Program Effectiveness :

  • Assist in handling administrative tasks, which allows the team to focus on their core responsibilities of directly assisting program members of Jobs Pus with their goals (i.e. employment, training, mental health, financial counseling).
  • Supports the program to promote a professional environment, that is well-organized and contributes to the professional atmosphere that can positively impact both the program’s members and staff alike.
  • Additional Requirements :

  • High school Diploma and a minimum of three years’ experience
  • Customer focused approach and ability to work effectively with diverse populations
  • Proficiency in MS Office Suite (Word, Excel, Outlook and PowerPoint, etc.) including experience with data entry and management systems.
  • Strong organizational and time management skills, with the ability to multi-task in a fast-paced environment
  • Excellent verbal and written communication skills
  • Advanced-level professional competency in written and spoken English language is required.
  • Authorization to work in the United States for any employer is mandatory
  • Other duties and tasks assigned
  • PHYSICAL REQUIREMENTS

  • Ability to use a computer for prolonged periods.
  • Ability to occasionally lift and / or move up to 10 pounds.
  • Ability to stand, walk, or sit for long periods of time.
  • Ability to climb five flights of stairs, if required to conduct home visits and / or fieldwork.
  • Ability to bend and retrieve objects and / or documents.
  • Ability to travel in the boroughs of New York City and its adjacent counties via public transportation.
  • Ability to travel for a minimum of 1 mile within a reasonable amount of time and in all types of weather, including inclement weather, if required to conduct home visits and / or field work.
