Executive Assistant
The role of the Executive Assistant involves providing high-level administrative support to company leadership and project managers. Key duties include managing executive calendars, scheduling meetings, coordinating appointments, preparing correspondence, reports, and presentations. The position requires handling confidential information with discretion and professionalism, coordinating travel arrangements, and expense reporting, as well as screening and directing phone calls, emails, and visitors. The Executive Assistant also maintains filing systems and ensures proper document organization.
Responsibilities
- Provide high-level administrative support to company leadership and project managers.
- Manage executive calendars, schedule meetings, and coordinate appointments.
- Prepare correspondence, reports, and presentations.
- Handle confidential information with discretion and professionalism.
- Coordinate travel arrangements and expense reporting.
- Screen and direct phone calls, emails, and visitors.
- Maintain filing systems and ensure proper document organization.
- Oversee office technology systems, including computers, printers, and communication equipment.
- Provide technical support and troubleshooting for staff.
- Manage software licenses and coordinate system updates.
- Assist with project management software and construction-specific applications.
- Maintain data backup systems and ensure cybersecurity protocols.
- Research and recommend technology solutions to improve efficiency.
Essential Skills
3-5 years of executive assistant experience.Proficiency in Microsoft Office.Self-starter with strong administrative and clerical skills.Excellent data entry and customer service abilities.Strong calendar management skills.Proficient in Microsoft Excel and Outlook.Additional Skills & Qualifications

The work environment is a union environment where colleagues feel like family. This is an in-office position, requiring presence 5 days a week. The role operates from 8 AM to 5 PM, Monday through Friday, working directly with a very busy team.

This is a Contract to Hire position based out of Gary, Indiana.
Pay and Benefits
The pay range for this position is $25.00 / hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
