Administrative Assistant - Internal Medicine Group Job Description : Mill City Medical Group is seeking an Administrative Assistant for our internal medicine practice.

The Administrative Assistant is a key point of contact for patients and provides patients and guests with a positive customer service experience from start to finish during their visit.

This position works closely with patients, clinical teams, and business offices on accurately checking in, collecting ID and insurance cards, signatures and copay / deductible, and checking out.

Responsibilities include ensuring timely patient flow into exam rooms, reporting any delays to the patients and / or Physician teams and operating the front office.

The Administrative Assistant ensures that patient satisfaction goals are met or exceeded. This is a full-time role. Essential Duties and Responsibilities : Ensure patients have a positive experience whether in-person, telehealth or on the phone.

Communicate regularly with clinical staff to ensure patients and office needs are met. Collaborate with the team to create a positive patient experience.

Greet patients and complete established check-in procedures upon arrival. Responsible for registration, including data entry of patient information and insurance verification.

Collect copays and / or outstanding balances. Responsible for checking patients out and scheduling follow up appointments and communicating necessary items at time of check out.

Answer phone calls and web encounters from patients and telephone encounters from the providers in a timely manner; direct or escalate inquiries when needed.

Contact patients for appointment reminders or scheduling purposes. Complete clerical tasks including but not limited to distributing mail and reports, filing, scanning, scheduling, data input, management of electronic fax inbox and general support to all office personnel.

Ensure confidentiality of patient data and stay up to date with HIPAA regulations. All other duties as assigned. Experience, Education, Licenses & Certifications Preferred : 1 year of administrative experience in a healthcare related setting Required : High School diploma or GED Knowledge, Skills & Abilities Excellent interpersonal and verbal communication skills;

as well as interpersonal relationship building abilities Strong organizational and written communication skills Ability to multitask, prioritize, manage time effectively and respond timely to patients and / or visitors Strong knowledge of HIPAA guidelines and understanding of patient privacy and ability to demonstrate a high level of confidentiality.

Ability to work independently and in a team environment; and able to lead by example Excellent computer skills, and understanding of Electronic Health Record (EHR systems) Powered by JazzHR
