Assistant Manager-Maintenance Administration
Under the supervision of the Administrative Manager of Maintenance/Cranes, the Assistant Manager of Maintenance Administration assists all Maintenance Department Managers and Foreman with maintenance parts inventory, maintenance work orders, job cost summary report generation, and equipment cost summary report generation. Works closely with Information Technology, Finance and Purchasing Departments on Maintenance related problem solving. Compiles computer-based reports and special projects. Promotes a safe work environment by participating in safety initiatives and reporting unsafe conditions and behaviors.
Assists manager with the supervision of all daily Storeroom activities. Oversees inventory operations at all GPA storerooms to include Garden City Terminal, Ocean Terminal, and Appalachian Regional Terminal. Maintains/monitors the minimum/maximum inventory levels, reviews and maintains adequate daily inventory records for inventory control. Monitors all requisitions for storeroom supplies and stock items at all GPA storerooms. Supervises storeroom/maintenance office procedures, including reports, purchase order files, on-order files, issues and receipts. Responsible for all inventory counts and audits. Audits inventory of parts to ensure proper accountability and amount of spare parts on-hand. Issues DPOs for minor items and generates, reviews, and matches invoices to DPOs to close out purchase order. Establishes and maintains inventory catalog and numbering system. Maintains good recordkeeping for GPA property sent out for repair (tires, radiators, tools, instruments, etc.). Assists in the management and maintenance of all PC operating systems for Maintenance Department, including interfacing computer operations with Information Technology, Purchasing and Finance. Assists in the resolution of all problems relating to parameters in the SAP configuration for Plant Maintenance Module, Inventory Control System, and system maintenance. Assists all Maintenance Department Managers and Foreman with maintenance parts inventory and requisitions, maintenance work orders, equipment modification, and job cost summary report generation. Prepares summary reports, weekly, monthly, quarterly and annually for Maintenance Departments. Assists in all Maintenance department administrative functions, to include timekeeping, attendance records and personnel files. Assists, updates and controls Maintenance technical library and as-built drawing files. Maintains all Storeroom tools in good operating condition. Maintains a safe and clean working environment. Exhibits a high degree of leadership and must be capable of resolving all problems relating to storeroom parameters. Assists Managers and Foremen in job planning function, along with job cost summaries, parts requisitions and equipment modification. Monitors progress of ongoing work. Extensive computer experience with databases and inventory programs, SAP or other MRP software, and Microsoft Office and have an aptitude for computer-programming desired. Must possess the ability to supervise personnel. Must be able to communicate well both verbally and written. Excellent oral, written, and listening skills required. Ability to deal effectively and professionally with the GPA staff on all levels as well as customers, representatives of the shipping industry and the general public required.
