Description

This is an Enterprise Pathology role focusing on the AMC (BWH and MGH Pathology) faculty with administrative oversight
of Harvard Medical School (HMS) promotions, appointments, and reappointments, institutional promotions committees,
and faculty search committees. A complex role navigating the HMS requirements for these activities, the incumbent
must possess in-depth knowledge of HMS guidelines for multiple academic roles and titles to independently manage
all aspects of the appointment and promotion process for initial faculty appointments and subsequent reappointments.
Working closely with the Enterprise Chief of Pathology and the Deputy Chief, Faculty Practice and Affairs, the Program
Manager oversees and directs the process of gathering necessary data, materials, and documents for institutional and
HMS promotion committee reviews and HMS Office of Faculty Affairs (OFA) review, including maintaining templates
for and preparing drafts of the Chair's nominating letter, advising faculty on Curriculum Vitae preparation in the Harvard
format, soliciting letters of recommendation, independently assessing information needed to complete all required forms,
and compiling and collating required forms and documents for creation of appointment and promotions packets. Acting
as the Chief of Pathology's representative, serves as the administrative liaison with the HMS Pathology Executive
Committee (PEC), the HMS Dean's Office and OFA, and various HMS Promotions, Appointment and Reappointment
(P&R) committees. Interacts directly with a wide variety of Departmental faculty, administrative staff at MGB and other
HMS affiliates, and HMS OFA staff to troubleshoot and resolve problems in the administrative aspects of the appointment,
reappointment, and promotion process. The Program Manager is also responsible for the management and oversight of
the Annual Career Conference (ACC) process for both AMC (BWH and MGH) and Community pathologists, as it directly
relates to evaluation of faculty accomplishments and determination of timing of HMS promotion.

1 . Develops and implements the HMS Promotions and Appointments processes for the newly established Enterprise Department of Pathology.Prepares faculty promotion and appointment materials for presentation to the HMS PEC and submits all approved promotion packets to the HMS OFA.Responsible for the quality and the completeness of submissions and the appropriateness of the submissions based on HMS and MGB defined requirements.The Program Manager is the key liaison for the faculty and the Medical School during the complex academic promotion process.

2 . For new Clinical and Research faculty appointments and Annual or Term reappointments that do not require HMS PEC review, works with incoming faculty member to complete necessary forms, and organize and prepare materials for submission to HMS OFA under the guidance of the Chief and/or Deputy Chief.Responsible for the quality and the completeness of submissions, including approximately 200 term and 60 annual reappointments.The Program Manager serves as the key liaison between the incoming faculty member and HMS during the initial appointment and reappointment process.

3 . Creates and maintains an electronic database to track status and issues at key milestones throughout the appointment and promotion process, providing regular updates to the Chief, Deputy Chief, and Enterprise Executive Director, as well as the faculty member.

4 . Working collaboratively with the Deputy Chief, provides administrative oversight to facilitate MGB Pathology Faculty searches according to HMS and MGB policies and procedures for equity, inclusion, diversity, and academic integrity.Coordinates with various internal and external parties, including search committee chairs and members, their administrative support staff, search candidates, and HMS OFA.Responsible for ensuring that all organizational components of faculty searches and search documentation are managed and completed in a timely and efficient manner.

5 . Works closely and collaboratively with Deputy Chief, Executive Vice Chairs, and Enterprise Executive Director to develop and maintain up-to-date list of active faculty members requiring ACCs per HMS and MGB policies.Serves as a liaison between departmental leadership and AMC Offices for Faculty Affairs to ensure integrity and completion of ACC process.Coordinates with the Chief, Deputy Chief, delegated reviewers, and their administrative support staff around timeliness of completion of ACCs for all MGB Pathology faculty and maintains database of faculty names and ACC completion dates.

6 . Advises faculty on maintenance of CVs, biosketches, and other supporting records for promotion and departmental files.Tracks and maintains all aspects of the HMS faculty, including a database of teaching hours and other requirements associated with maintenance of academic appointment. Responsible for ensuring that related organizational components, documentation, and correspondence are managed in a timely and efficient manner.Terminates appointments as required for departing faculty as well as any Emeritus or other requirements for Without Limit of Time (Endowed and/or WLT) or other special categories of academic appointments.

Qualifications

Required previous experience in Academic Medical Center with 3 to 5 years in healthcare preferred.

Bachelor's Degree required and a master's degree in management or education preferred.
