Professional Staff Assistant
Prototype Fabrication Division (PF) is looking for an energetic, customer-focused Professional Staff Assistant (PSA) to join our team. The division provides precision fabrications in a wide variety of materials and sizes for a variety of customers both internal and external to the Laboratory. The PSA will serve as the first point of contact for the division office and will work to fulfill all aspects of the administrative functions for the division office and provide backup assistance for group administrative functions. The selected candidate will act as an interface between PF, the Non-Nuclear Production Office (NNPO), as well as other LANL organizations. Managing complex schedules and coordinating meetings (onsite & virtual) is a necessary skill for success in this position. The PSA will be expected to lead, manage, and complete special projects for the division, maintain a professional office atmosphere, assume responsibility with minimal supervision, demonstrate accuracy and attention to detail, and confidentiality in all matters. This position requires a motivated performer who is capable of quickly changing focus, acting independently and is comfortable with a broadly defined scope of work.
Minimum Job Requirements :
Professional Expertise : We are looking for someone with proven competence in providing advanced-level administrative support and office management in a complex office environment by ensuring office coverage and schedule coordination, developing efficient and effective ways to organize and prioritize work, review, and prioritize incoming information, and make decisions regarding appropriate dispensation. You must have expertise to serve independently as a primary resource for calendar management, planning the logistics, and arranging for local and cross-organizations meetings.
Business Systems : Expert level knowledge and experience with business systems including Microsoft Office Suite, to produce Word documents, Excel spreadsheets, and PowerPoint presentations for a variety of communications, memos, and presentations with significant responsibility for content. You will also demonstrate database management skills to interpret data and information to assemble data for shared resources and tracking as well as the demonstrated ability to provide support for specialized functions such as webpage management, and HR processes.
Decision Making : We require someone who is able to work with limited oversight, taking appropriate initiative, and make decisions within defined boundaries to include making recommendations to office management based on policy interpretation. You will have experience in conducting research, analyzing problems, and successfully identifying and integrating creative ideas and solutions to enhance office productivity and ensure customer satisfaction.
Personal Leadership : You must be able to work effectively in a dynamic office environment with the ability to calmly manage frequent interruptions and changing priorities, complete assignments with minimal guidance, be available, dependable, and punctual. You must also demonstrate the ability to handle sensitive and in-confidence information with tact and discretion.
Values and Behaviors : Positive working relationships and the demonstrated ability to network effectively with other administrative staff and key contacts outside own area of expertise, both internal and external to the organization is key to success in this position. Communication : Excellent communication and customer service skills both verbal and written, demonstrating the ability to interact effectively with all levels of internal and external personnel. Strong interpersonal, presentation, and written skills are required.
Clearance Ability : Ability to obtain a DOE Q clearance, which generally requires US citizenship.
Education / Experience : Position requires a bachelor's degree and 5 years related experience; or, an equivalent combination of education and experience directly related to the occupation. The work location for this position is on site and located in Los Alamos, NM.
Desired Qualifications :
LANL-specific knowledge : Knowledge of Laboratory structure and administrative processes / tools such as LANL procurement, LANL domestic and foreign travel, LANL Authorized Delegate Timekeeper, and / or Classified Matter Primary Custodian (CMPC) training.
Experience working in a classified environment : Working experience handling classified matter and serving as a classified matter custodian.
Document Control / Records Management : Experience as a document control / records management custodian and the application of this knowledge for the management, storage, and retention of documents and records both hard copy and electronic. SharePoint, EDRMS, PDMLink experience highly desired.
