Project Manager & Special Assistant
The Project Manager & Special Assistant will provide senior-level administrative and operational support to the Interim Chief Diversity Officer (CDO), as well as to other members of the Office of Diversity, Equity, and Inclusion (ODEI). This individual must exercise sound judgment in prioritizing tasks, have the ability to manage multiple assignments, and handle sensitive information with discretion. This role requires consistent interaction with senior executives across SUNY and involves maintaining high levels of professionalism and confidentiality.
Key Responsibilities :
- Oversee and manage the daily operations of the ODEI office, including : Scheduling meetings and managing calendars for the Senior Vice Chancellor / System CDO; Drafting correspondence, meeting agendas, and briefing materials; Reviewing and approving supply requisitions; and Monitoring and tracking the office budget
- Coordinate complex travel arrangements and process related reimbursements
- Provide support for planning, coordinating, and executing events
- Manage contact and communication databases, including updating and distributing campus contact lists; Maintaining system-wide listservs
- Conduct research and gather data to support special projects, initiatives and policy implementation
- Prepare presentations, reports, and other materials for internal and external meetings
- Coordinate responses to key stakeholders on behalf of the Office
- Serve as liaison between ODEI leadership and internal / external stakeholders, delegating tasks to appropriate staff or departments when necessary
- Maintain confidential records, correspondence, and files with discretion and accuracy
- Assist in drafting and finalizing official documents such as letters, memos, and invitations
- Tracking trends and initiatives related to diversity, equity, and inclusion across the SUNY system
- Collaborate effectively with other SUNY System Administration offices to support ODEI goals
- Perform other duties as assigned
Required Qualifications :
Associates degree and at least two years of experience in providing administrative support, project management guidance / ownership, and / or similar; or Bachelor's degreeDemonstrated success in researching gathering data related to complex policy issues.Proficiency in Microsoft Office Suite, and high level of flexibility in adapting to and using new technologies and platformsStrong oral and written communication skillsAbility to work independently and as part of a team, with excellent interpersonal skillsAbility to turn around projects quickly and thoroughlyAbility to manage multiple prioritiesSalary is dependent on a variety of factors, including but not limited to, experience, education, training, and certifications. The range for this position is $67,000-$72,000 annually. This position will be based in Albany, NY, working in the office Monday - Friday. Applicants must be currently authorized to work in the United States on a full-time basis. VISA sponsorship is not available for this position.
