Job description

Administrative Coordinator

We are looking for an Administrative Coordinator to support the operations of a Multicultural Senior Center in Lynnwood, Washington. This contract position involves overseeing various administrative and program-related tasks to ensure the smooth delivery of services, including meal programs and social activities, within a dementia-friendly environment. If you are passionate about working with older adults and have strong organizational skills, this role offers an opportunity to make a meaningful impact.

Responsibilities :

  • Organize and facilitate weekly wellness and social activities tailored to senior participants.
  • Manage the opening and closing of the Multicultural Senior Center, ensuring the space is prepared for daily activities.
  • Supervise meal and beverage services, including participant sign-ups, donations, and adherence to food safety standards.
  • Maintain accurate program records using the CareVantage system and handle meal card distribution.
  • Coordinate with vendors for catered meals and ensure proper documentation for expenses.
  • Order food, beverages, and supplies in line with Nutrition Department protocols.
  • Oversee volunteers and kitchen assistants by assigning tasks and managing their schedules.
  • Track volunteer hours and provide monthly reports to the Volunteer Manager.
  • Plan and organize presentations, workshops, and resource activities to meet program and contract objectives.
  • Assist with data tracking, reporting, and updates to the website and monthly activity calendar.

Requirements :

  • Associate degree in Human Services or a related field, or equivalent relevant experience.
  • At least two years of administrative experience, along with two years of work in human services.
  • Prior experience supporting older adults or individuals with disabilities.
  • Proven ability to work effectively with diverse populations.
  • Excellent organizational, communication, and administrative skills.
  • Proficiency in Microsoft Office tools, including Outlook, Teams, Excel, Word, and PowerPoint.
  • Capability to work independently and adapt to a fast-paced environment.
  • Ability to occasionally lift up to 25 pounds and travel locally during business hours.
