Job Title : Receptionist
Location : Oklahoma City, OK
Pay : $19.00 per hour
The Receptionist position plays a crucial role in the success of Addison Group. The Receptionist is the first point of contact for Addison’s clients and candidates and is, notably, the face and voice of Addison.
Without the Receptionist successfully managing the phones and flow of office visitors (candidate interviews or client in-office meetings), the Recruiters and Business Development Managers are not able to be successful.
The best candidate will understand the time sensitive nature of managing the phones and assisting with visitor flow. They will also understand the importance of effective communication, professional appearance, and the time sensitive nature of the requests they receive.
They must prioritize their day to productively support team members.
Responsibilities :
- Meet and greet all office visitors in a professional and positive manner
- Answer and transfer inbound calls in a timely manner, ensuring short on-hold times
- Verify and scan I9 Acceptable Documents, and ensure the completion of any other required paperwork
- Maintain all confidential information for candidates, including I9 documentation
- Type and word-process various documents and electronic information
- Coordinate interview rooms and testing computers to ensure short wait times
- Coordinate conference room calendars to ensure smooth scheduling between multiple groups
- Coordinate any additional meetings within the office, as needed
- Regularly meet with Office Manager for any new policies, updates, or changes to any internal process
- Maintain cleanliness of reception area, interview rooms and testing areas
- Manage all inbound and outbound mail & packages
Knowledge, Skills, Education
- Previous Administrative experience
- Professional oral and written communication skills
- Proficient in Word and Excel
- Excellent customer service skills
- Organized and detail-oriented
