What You'll Do
Job Purpose
Assist the Project Manager with planning and managing construction projects and overseeing their progress along the way in a timely and cost-effective manner. Responsible for obtaining bids, coordinating contracts, organization, permitting, implementation and scheduling of the projects.
Duties and Responsibilities
Create, update and maintain a variety of project controls that track the status of :individual projects or task orders, changes to projects or task orders,
RFI’sshop drawings and submittalsup to date drawing packages in Procoretrack materials, lead times and deliveriespermitsmatters involving quality controlssafetyfinancial performanceproject close-outAnalyze reports to create priorities that prevent delays to critical activities within the projectCreate, review and process shop drawings and other submittals that are required to document the construction processNegotiate and / or support the process of negotiating contracts, subcontracts and purchase orders, inclusive of developing estimates and proposals, scope reviews and bid levelingManage and / or support the Change Management process, inclusive of, updating logs, routing source documents to vendors, obtaining pricing, writing change orders, ensuring timely execution of change orders and other related activitiesSupport the Estimating processEstablish, monitor, communicate and maintain project schedules utilizing contemporary scheduling software and coordinate with scheduling consultant, if applicable.Proactively identify issues that could lead to problems and facilitate solutionsAssist in ensuring that all aspects of the project are compliant with all contract terms and legal requirements that govern the project and the community in which the project(s) takes placeAssist Project Manager in the preparation of monthly construction reportAdheres to standard Document Control processes to ensure project files are setup and maintained in accordance with the uniform filing structureProvide timely and cordial interaction with supporting work groups, such as accounting, HR, Management, QAQC, internal and external design professionals, etc.Participate in managing activities related to project closeout to ensure timely project completion and that all closeout documentation is compiled in accordance with closeout proceduresAssist with the evaluation of projects for constructability and value-engineer cost savingsParticipate in team and project meetings and prepare meeting minutes as directed by project management (i.e., weekly team meetings, QAQC, subcontractor, pre-installation coordination, etc.).Mentor direct reports for current success and future growthTravel will be required at times for projects out of the city limitsAdditional job duties include, but are not limited to, the preparation, review, tracking and distribution of the following project documents and tasks :
Requests for Information (RFI’s)-Prepare, track, update and distribute project RFI’s using Procore
Tag RFI’s to drawings in ProcoreFile RFI’s accordance with uniform filing structureWeekly Subcontractor MeetingObtain 4-Week look ahead schedule from Lead Superintendent and prepare meeting agenda and meeting minutes
Provide updated Plan Log with Revisions and RFI logObtain weekly safety topic from Lead SuperintendentMSDSObtain and save all MSDS documents in the project file folders in accordance with the uniform filing structure
Ensure MSDS binder is easily accessible and up to dateDaily ReportsEnsure Subcontractors submit Daily Reports in Procore including the following information :
Number of workers (manpower)
Description of what work was performedDelays + party responsible (i.e., subcontractor, AHJ, weather, etc.)SubmittalsReview, process and track all project submittals in Procore
Verify materials delivered to site match approved submittals and communicate any discrepancies to the appropriate parties as soon as possibleResponsible for filing submittals in accordance with the uniform filing structure so they are easily accessible for project closeoutPermitsMaintain Permit Log(s) and ensure permits are saved in the project files in accordance with uniform filing structure
Track pending and upcoming permits prior to expirationPlans & RevisionsUpload, update and maintain project plans and revisions in Procore to ensure project drawing log is always up to date
Works with the Assistant Project Manager to maintain all plan documents and ensure that they are up to date in both manual hard copies and electronically.Responsible to make sure each revision is permitted and stamped copies are maintained on hand.Coordinate with Development to identify pages that must be resubmitted to the cityTrack submission of revised pages with original stamped plan to the cityCoordinate pick up of approved plans and send to A&E for scanningSave scanned plans, add approved plans to city stamped set and upload into ProcoreSafetyAssist Superintendent with daily safety walks
Identify any issues and report to subcontractor’s foreman and superintendent for immediate correctionDocument and save repeated offenses; email subcontractor main office (copy PM) if an issue continues or is not correctedPrepare Safety Binder / Safety meeting sign-in sheetDistribute Safety Topic of the Week packet (English & Spanish)Obtain signed copies of topic of the week packet for subcontractor’s employees also contact information for Designated safety monitor of every subcontractor
Assist Superintendent with tracking, documenting, and saving jobsite incidents, including :OSHA incident report form (Blank)
Morgan incident report form (Blank and make sure sub signs and hands over a copyUpdates to weekly safety meeting binderMap to nearest emergency medical facilityCoordinate with Superintendent to setup delivery routes to property to ensure safety during deliveries (emailed to subs, displayed and handouts)InspectionsAssists the Superintendents with daily on-site safety inspections and material audits
Create and maintain inspection log(s)SchedulesAssist Superintendent with schedule updates

Working experience in constructionKnowledge of construction management processes, means and methodsKnowledge of building products, construction details and relevant rules, regulations and quality standardsUnderstanding of all facets of the construction processFamiliarity with construction management applications (ex; Procore, Textura, Primavera)Ability to plan and see the “big picture”Excellent time and project management skillsBS degree in construction management, architecture, engineering or related field or equivalent experience in construction management.Working Conditions
While performing the duties of this job, the employee is frequently exposed to fumes or airborne particles, moving mechanical parts and vibration. The employee is occasionally exposed to a variety of extreme conditions at construction job sites. The noise level in the work environment and job sites can be loud. This position is sometimes performed in the local office and project site(s) in outside weather conditions.

The employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl. The employee must frequently lift and / or move up to 10 pounds and occasionally lift and / or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Manages the Project Engineer as well as the Field Coordinators and Labor Foremen.
