Job Summary
Assists departmental leadership with Patient Events and Experiences. Leads the coordination and execution of top tier signature events, establishing partnerships with internal / external stakeholders, driving a positive experience, and creating excellent public relations for the hospital.
Job Specific Duties
Leads the coordination of top tiered signature patient events such as Carlin Prom, Fux Holiday Party, celebrity visits, etc.
Ensures a timely response regarding elite donor and special guest relationships prioritizing patient safety and donor vision while creating memorable experiences for patients and their families.Â
Leads events and experiences representing the Children & Family Experience team, supporting the preparation and day of facilitation.
Responsible for volunteer supervision at events. Oversees on-site production and clean-up at events as necessary.
- Serves as liaison with vendors on event & experience related matters such as arranging decor, food and beverage, orders, contract and PO management, audiovisual equipment, etc.Â
- Designs and sustains the patient nomination and invitation process for events throughout the year. Serves as point of contact for nomination criteria review and approvals.
Ensures all event messages and materials meet style and guidelines.Â
- Collaborates with Hospital and system-wide event activation teams to develop event cost savings using established IT platforms, programs, and scalable resources whenever possible.Â
- Liaises with Hospital Foundation in response to interested major corporations and community partnerships related to event sponsorship gifts of $10k and above.
Responsible for the event & experience sponsorship proposal package in collaboration with Foundation and Marketing.Â
- Oversees assigned budget, updates event finances and recording including invoicing, transmittals and provides periodic progress reports.
- Liaises with identified sports teams, parks, and performance venues to create unique on campus & off campus experience opportunities as clinical milestone celebrations and patient perks.Â
- Responsible for the event volunteer committees, task delegation, training and day of supervision. Maintains communication with committees leading up to the event with increased frequency as event date gets closer.Â
- Serves as key stakeholder supporting the coordination of specialty and diagnosis specific camps ensuring patient safety and compliance regarding vendors, volunteers, and activity selection.Â
- Supports leadership with research, site visits, and resources for decision-making regarding event venue choices, vendors, and look and feel of events.Â
- Answers telephones, routes callers, takes messages and provides routine information to callers.
Qualifications
Minimum Job Requirements
- 2-4 years' experience in planning and executing special events
- 2-4 years' experience in pediatric environment
Knowledge, Skills, and Abilities
- Bachelor's degree in Marketing, Event Management, Hospitality, Communications or other related field preferred
- 3 - 5 years of experience in planning and executing special events in the non-profit industry preferred
- Bilingual proficiency preferred (English / Spanish)
- Excellent verbal and written communications skills
- Basic proficiency in MS Word, Excel, Outlook and PowerPoint
- Excellent interpersonal skills
- Excellent customer service skills with a high level of professionalism
- Able to work evenings and weekends
- Able to attend off campus events
- Excellent problem-solving and analytical skills
- Strong proofreading, organizational and public speaking skills
- Ability to work independently under pressure and manage multiple projects and assignments with a variety of staff and volunteers
- Ability to see a task from start to completion
