Job Description :
The Registration Coordinator position provides medical office support including check-in and some check out functions. Manage the reception of patients within the office and by telephone. Obtains patient insurance and demographic information, collects co-pays, payments, and schedules internal appointments, etc.
ESSENTIAL FUNCTIONS :
- Answers the telephones and greets patients in a courteous, efficient manner. Routes calls / messages to appropriate discipline / department
- Follows policy and procedures outlined by management to ensure standardization of processes across all clinics
- Conducts patient check-in, following policy and procedures
- Properly tracks patients in EHR for next location and ensures patients are not missed
- Obtains pre-patient registration, demographic and insurance information and enters appropriately into Patient Management System (PM) or Electronic Health Record (EHR). Including all paper / electronic documents
Verify and update patient demographics
Scan documents into Electronic Health RecordCollect patient photographs, scan insurance cards (and notify insurance auth coordinators), and documents / obtains signatures on necessary forms as neededEnsures eligible patients have proper distress screeningCollects co-payments and / or payments at time of service and manages end of day procedure to include daily deposit, petty cash reconciliation, and sign in sheetsEnsures canceled / no show and missed appointments are followed up and properly documentedSchedules internal patient appointments and makes walk-in appointments, i.e. Nurse triage, sample drop off, etc.Communicates information regarding Patient Engagement Portal and assists with registration process, to include sending invitesRuns and works daily reports, such as cancel / no show, missing employer, etc.Demonstrates excellent customer service. Responds promptly to patient, physician, manager, clinic, and other department requestsCommunicates to other staff members using Instant Messaging SystemScans documents into Electronic Health RecordOther duties as assignedAbility to travel / float to other clinics for business needsMaintain and ensure confidentiality of patient informationAdheres to all Tennessee Oncology policies and proceduresEDUCATION AND EXPERIENCE : (Knowledge, Skills & Abilities)
High school graduate or equivalent with GED2 years of previous professional office experience and / or customer service experience preferredStrong computer skills including Windows file management and MS Office, and e-mail experienceGood verbal, listening, and written communication skillsAbility to work productively and effectively in a fast-paced environmentStrong organizational skills and attention to detailExcellent customer service skillsPHYSICAL REQUIREMENTS :
Able to travel to clinics when necessaryAble to lift 25 pounds
