Summary

East Side House (ESH), founded in 1891, is a 501(c) (3) organization that has served the South Bronx since 1963. The organization is dedicated to the community and focused on providing resources and opportunities.

East Side House has identified that education is the foundation for economic improvement and through its youth education and technology programs it teaches skills to allow its students and clients to become more self-sufficient and independent.

As a community resource the organization also provides services to families and a growing senior population. In 2020 the organization began food distribution as an additional way to provide economic support to the community we serve.

Job Summary :

Reporting to the Executive Director, the Director of Operations (DO) of Haven Charter High School (HCHS) is a member of the school leadership team and works in partnership with the principal to ensure all business aspects of the school are run effectively.

The Director of Operations is a strategic leader who works to maximize the school's operational performance by developing and refining operational systems, designing, and executing short-term and long-term strategies, supervising operations staff, and serving as part of school leadership to support school growth.

Duties / Responsibilities :

Duties and Responsibilities include, but are not limited to, the following :

Administrative

Oversee assigned logistics for day-to-day school and business operations, school-wide events, parent communications, transportation, technology, and inventory management;

school appearance, health and safety protocols

  • Support policies, procedures, and communications across the school community to drive student outcomes and ensure compliance with regulatory agencies;
  • Manage strategic partnerships and business activities of the school, including purchase orders, credit card reports, and staff reimbursements
  • Coordinates with custodial, school foods staff, school nurse, security guard and onsite technology support staff to optimize the onsite school experience for students and staff
  • Supports on / offboarding process of staff, maintain accurate staff records, certification information and time accounting for accurate payroll
  • Tracks service and inventory records for office equipment and technology infrastructure, school supplies, furniture, and equipment and ensure proper maintenance and accessible when needed
  • Serve as a thought partner to the Principal, collaborating with school leadership in aligning school culture, coordinating the work of different partners within the school, and aligning the work of partners with the school faculty.
  • Assist leadership team with staff and student recruitment, as well as the logistics for interviewing and orientation, staff hiring and onboarding.
  • Collaborate with school leadership team to create and manage a safe and welcoming learning environment.
  • Serve as liaison between Partner Support Organization services and HCHS Staff needs (HR, Finance, IT, etc.)
  • Support the implementation of a systematic approach to managing and intervening on staff related issues based on the Staff Handbook and HR best practices
  • Support the ED and Principal in documentation of school wide reports for tracking and compliance, for SUNY, funders and as needed
  • Manage all vendor and partnership relationships as they relate to : supplies , IT, communications, and security systems including the identification, coordination and payment of services
  • Communicate building needs with the Executive Director and Principal and monitor safety and cleanliness, facilities needs, requests and improvements to ensure completion and compliance with all regulatory agencies

Support Services / Coordination

  • Work closely with entire HCHS and partnership staff upon occasion, to secure necessary support services for School
  • Hire, train and supervise School Aides, Facilities Maintenance staff and Security Guards as well as the school facility in itself
  • Develop strong and productive relationships with school leadership, teachers and partners

Procurement

  • Investigate and vet options and resources that enable school business operations
  • Identify the needs and concerns of school leadership and partners and see they are addressed in a timely manner.
  • Use data to inform best practices and professional development.

Community Engagement

  • Work with school staff to develop, implement, and evaluate parent and community engagement and community outreach activities.
  • Serve as resource to school leadership as it pertains to meeting the school's educational goals and assist in the coordination of school- wide activities and services with other agencies and organizations.

Professional Development

Collaborate with colleagues (leadership and school-wide meetings, professional development days, the professional development institute) to continuously improve overall goals and mission of the school;

Expected Work Environment and Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday, 8 : 00 a.m. to 4 : 00 p.m. Workdays / hours subject to change based on HCHS needs.

Remote Work

ESH has determined that up to zero (0%) of this position can be remote due to COVID-19. Subject to change as public health conditions evolve.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

While performing the duties of this job, the employee is regularly required to talk or hear. This is largely a sedentary role;

however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.

Qualifications

Required Education / Skills / Experience

  • Understanding of Haven Charter High School mission and school achievement goals
  • Bachelor's Degree required or 3+ years school or community-based operations experience
  • Highly organized and process oriented
  • Significant experience in leadership roles at a school or similar education environment, with specific experience managing adults
  • A passion for and record of driving student achievement and overall success in diverse and traditionally under-resourced communities, preferably at the high school level
  • A deep belief that all students can thrive in a challenging, high-quality, nurturing, and supportive learning environment
  • Demonstrated ability to build and maintain relationships with families and community members.
  • Strong belief in collaboration, including the sharing and spreading of best practices
  • Ability to collaborate and partner with multiple school stakeholders
  • Ability to think outside the box and problem solve innovatively; and
  • Bilingual skills (English / Spanish) strongly preferred.

Required Clearances

  • COVID Vaccine- As a recipient of Federal, State, and local funds, all staff are expected to be fully vaccinated or able to obtain vaccination before their start date.
