Essential Duties
Position Summary : Performs a variety of complex tasks under general supervision related to acceptance, registration, recording and filing of real estate documents, and fulfilling various vital records requests.
- Reviews real estate documents, Wisconsin real estate transfer receipts, other recordings and filed documents for accuracy, completion and conformity under state statutes, and accepts same for recording or filing.
- Completes computer entry into the land records software from real estate documents; records, cross indexes and tracts complex real estate legal descriptions and grantor / grantee information.
- Accurately provides cashiering and point-of-sale (POS) machine management by collecting various fees and revenues, ascertaining they are correct and issues receipts and change as needed.
- Operates complex equipment including but not limited to scanners, photocopiers, windows-based software programs such as Microsoft Word, Excel, the current land record software program, State Vital Records Information and point-of-sale (POS) systems.
- Answers the telephone and gives general information in response to public and private sector clients; transfers specific calls to appropriate staff members or voice mail.
- Searches and prepares reproduced recorded and filed documents upon request; collects statutory fees and delivers copies to requestor. Assembles and returns recorded documents on a timely basis.
- Interacts with people of diverse ethnic and linguistic backgrounds by assisting them as needed with various forms, researching recorded and filed documents and general information inquiries.
- Undertakes special projects and performs research for same as requested by management.
- Cross training as needed to fill in other positions to cover for vacations or absence.
- Performs any other duties as may be assigned.
Qualifications
High school education or equivalent education supplemented by technical school or college course work in real estate law or equivalent experience and training in areas such as a law office, title insurance company, or bank that provides the required knowledge, skills, and ability.In order to work within the State Vital Records Program must take and sign an oath of confidentiality.Ability to read, comprehend, and follow complex oral and written instructions carefully and accurately, able to work independently and reliably.Ability to learn and understand legal documents particularly pertaining to real estate.Ability to extract legal descriptions, names and other pertinent data, and enter them accurately into the current land record software program.Ability to operate complex equipment including but not limited to scanners, photocopiers, windows-based software programs such as Microsoft Word, Excel, the current land record software program, State Vital Records Information and point-of-sale (POS) systems.An energetic and positive attitude when working with members of the public, local government and colleagues; ability to assist a wide variety of individuals in a courteous and timely manner.Ability to perform assigned functions with a minimum of error.Work Environment & Physical Requirements
Work is performed primarily in a standard office setting. Ability to regularly work 8.0 hour days and 40.0 hour weeks is required.
