Personal Assistant & Household Coordinator
Location : Hybrid Manhattan, NYC
Compensation : $150,000+ DOE + Full Benefits
Schedule : Monday-Friday, Full-Time Some flexibility required
Reports To : Senior Family Assistant
Local candidates only.
Must be comfortable driving - personal vehicle preferred but not required.
The Heart of the Role
This Personal Assistant & Household Coordinator role is for someone who gains satisfaction in making a home feel calm, prepared, and cared for-someone who notices the little things and quietly ensures they're handled before anyone else has to think about them.
You'll work closely with a kind, fast-paced household where the standards are high and appreciation runs deep. You will report directly to the Senior Personal Assistant and serve as a steady support to them in ensuring that all aspects of daily life run smoothly. This is an ideal role for someone who thrives in a support capacity, takes direction well, and enjoys being a reliable second set of hands in a well-structured environment.
Because this household runs on shared systems and digital tools, you must be highly tech-savvy, with existing Asana skills and confidence using calendars, spreadsheets, and task-tracking platforms to keep projects and priorities aligned.
Your week will be a blend of in-person tasks-errands, vendor coordination, walkthroughs-and virtual support, assisting with the business calendar of one Principal, projects, and details on track. One day each week will be spent at an upstate property, conducting walkthroughs and oversight-so being comfortable driving (a personal or rental car) is essential.

Key Responsibilities
- Provide thoughtful, high-level support across two residences, with a primary focus in Manhattan.
- Support calendar management and private travel coordination; track and flag deadlines, follow-ups, and reminders.
- Conduct weekly walkthroughs and oversee the housekeeper at an upstate property (1x / week; must be comfortable driving).
- Research and coordinate details for special projects such as :
- Thoughtful gifting ideas for children and adults
- Catering coordination for dinners or events
- Set-up support for corporate dinners (e.g., name cards, guest lists)
- Guest travel logistics (plane information, hotel billing, car services)
- Manage errands, returns, purchases, and ad hoc tasks with efficiency and discretion.
- Coordinate scheduling for household vendors and services (HVAC, car maintenance, etc.).
- Assist with organizational and inventory projects to keep homes and systems running seamlessly.
- Keep household spaces organized, orderly, and guest-ready at all times.
- Liaise with housekeepers, handymen, and service providers to ensure smooth, on-time execution.
- Maintain confidentiality, professionalism, and boundaries in all settings.
- Use shared digital tools daily (especially Asana, calendars, lists, spreadsheets) to track tasks, manage workflows, and ensure follow-through.
What We're Looking For
3+ years of experience in a Personal Assistant or EA / PA role within a private household or luxury environment.Proven ability to manage calendars, coordinate travel, and keep schedules running on track.Strong tech fluency; must have existing Asana skills and ease with shared digital platforms (calendars, lists, spreadsheets).Experience supporting principals in high-standard homes, with organizational and inventory management expertise.Warm, observant, and proactive-you notice what needs doing and handle it seamlessly.Experience balancing both virtual and in-person responsibilities.Familiarity with NYC and the surrounding region; confident navigating errands and appointments.Valid driver's license and clean driving record; must be comfortable driving weekly to upstate NY.A grounded, team-oriented mindset with a deep respect for privacy and professional boundaries.Additional Details
