The primary role of the Operations Assistant / Office Manager is to provide administrative and clerical support to the office and team to ensure the efficient operation of the office by supporting a variety of tasks.

The Operations Assistant will be responsible for mid & low level operational issues and all relevant administrative support tasks for making the office fully functional.

Responsibilities :

  • Completing all office management tasks;
  • Ongoing organizational tasks;
  • Travel arrangements for the team;
  • Gathering data in Excel lists (diverse staff lists, payments, diverse contact lists, etc.);
  • Create physical filing system, organize the electronic filing system for documents to be uploaded (for other staff members);
  • Support the Managers in small, clearly defined project-related tasks;
  • Representing the office in activities and alignments within the organization;
  • Co-ordination of service providers;
  • Perform special projects as needed by departments;
  • Assisting with events the office may host;
  • Assist with recruitment and onboarding processes;
  • Take inventory and order office supplies as needed;
  • Provide excellent customer service, maintain relationships with vendors, communicating with customers and vendors.

Qualifications :

  • Minimum of 2 years of experience in Office Management;
  • Proficient in Microsoft Word, Excel and PowerPoint;
  • Strong written and verbal communication skills;
  • Ability to work both independently and within a team environment;
  • Experience interacting professionally with Clients and the team;
  • Able to promptly respond to requests with accuracy and a courteous demeanor;
  • Excellent interpersonal skills and self-awareness;
  • Excellent relationship building skills;
  • Having a strong work ethic and the ability to address multiple tasks in a short time frame and being able to stick to strict deadlines.
