Position Summary
The Operations Coordinator, Strategic Initiatives supports Gemini's Operations team by coordinating vendor activities, assisting with process improvement projects, and ensuring smooth execution of operational initiatives. This role is highly detail-oriented, with strong organizational and analytical skills. The Coordinator works closely with the Operations Manager, Strategic Initiatives to maintain vendor relationships, track performance metrics, reconcile invoices, and contribute to operational efficiency efforts.

Location, Schedule & Compensation
- Location : Rocklin, CA / Hybrid-Remote
- Schedule : Monday-Friday, 8 : 00am-5 : 00pm
- Compensation : $65,000-$84,000 Annually
Responsibilities
Provide backup support to the Operations Manager of Strategic InitiativesAssist in monitoring vendor performance by tracking key performance indicators (KPIs) and preparing summary reports when needed.Help reconcile vendor invoices, ensuring accuracy and alignment with contract terms when needed.Coordinate strategic initiatives across Operations and GeminiEnsure proper process documentation is up to date across OpsCreate and maintain a process for managing incoming quality escalations from sales including overseeing a root cause analysis, action plan and accountability plan of the Ops SupervisorsContribute to process improvement projects by gathering data, documenting workflows, and suggesting enhancements.Research market and industry benchmarks to support operational strategies.Assist in preparing reports, presentations, and updates for leadership.Provide administrative and logistical support for cross-functional meetings and initiatives.Participate in quarterly Operations department Pulse meetings.Support due diligence activities and integration planning during acquisitions as assigned.Other duties as assigned.Qualifications
Education and / or experience :
Bachelor's degree in business administration, operations management, or related field preferred; equivalent work experience accepted.2–4 years of experience in operations coordination, vendor management support, or project coordination.Experience in legal services, insurance, or healthcare industries is a plus.Skills
Strong organizational skills with ability to manage multiple tasks and deadlines.Proficiency in data entry, tracking, and reporting.Strong written and verbal communication skills.Detail-oriented with accuracy in invoice reconciliation and record-keeping.Comfortable working independently and in a team setting.Analytical mindset with willingness to learn process improvement methodologies (Lean / Six Sigma exposure a plus).Technology
Proficiency with Google Workplace (Docs, Sheets, Calendar, Gmail, etc.).Familiarity with operations tools and software (ERP, CRM, or project management platforms).Environment & Physical Requirements
