Part-Time Administrative Support Specialist

Position Overview :

The Administrative Support Specialist will play a pivotal role in the office, handling calendar coordination, email management, CRM updates, and client appreciation materials. You will also be integral in our social media strategy, contributing creative ideas, capturing and editing video content, and managing posts across various platforms.

Key Responsibilities :

  • Coordinate and confirm appointments for the Branch Manager.
  • Organize daily email communications and calendar schedules effectively.
  • Prepare call lists, print calendars, and schedule timely follow-ups.
  • Create thank-you cards, birthday gifts, and celebration items for clients.
  • Maintain accurate records in the Customer Relationship Management (CRM) system and related databases.
  • Facilitate team meetings and generate necessary printed reports.
  • Assist with the logistics of happy hours, lunch-and-learn events, and other activities.
  • Manage and post engaging content across social media platforms (Instagram, LinkedIn, Facebook, etc.).
  • Capture and organize video content, helping with behind-the-scenes and testimonial videos.
  • Generate and execute innovative content ideas to showcase the team's brand and client value.
  • Post testimonials, success stories, event highlights, and home closing celebrations.
  • Utilize tools such as BombBomb, Vidyard, Canva, or Reels / TikTok for video editing and content delivery.

Qualifications and Skills :

  • Preferred experience in real estate, mortgage lending, or sales administration.
  • Event planning or client gifting experience is a plus.
  • Familiarity with Canva or similar video editing software is preferred.
  • Proficient in Instagram Reels, LinkedIn posting, and email marketing tools.
  • Comfortable producing and participating in video content creation.
  • Exceptional attention to detail, with the ability to execute tasks efficiently in fast-paced settings.
  • Strong organizational skills, capable of managing tasks proactively.
  • Passionate about fostering personal growth and supporting team success.
  • Excellent verbal and written communication skills.
