We are seeking an IT Procurement Specialist. This role is responsible for ensuring the success of the Company's IT Department purchasing, licensing, and financial management objectives. The ideal candidate will manage the daily and long-term administration of technology-related hardware and software procurement services. Additionally, the position oversees software asset management, contract lifecycle management, vendor onboarding, purchase orders, and invoice processing while ensuring compliance, cost optimization, and inventory availability across the organization.
Your Impact
- Manage the full life cycle of IT hardware, software, and services purchases from quote to delivery, including data entry, monitoring, tracking, and communication with internal customers.
- Maintain strong vendor and reseller relationships to optimize pricing, payment terms, contract renewals, inventory availability, shipping, and maintenance agreements.
- Facilitate vendor onboarding processes, including coordination with Legal, Finance, IT Security, and other stakeholders to ensure compliance with corporate standards, risk assessments, and required documentation.
- Oversee contract management processes, including renewals, negotiations, amendments, compliance checks, and ensuring terms are tracked and adhered to.
- Process, review, and reconcile purchase orders and invoices for accuracy, approval, and timely payment.
- Administer and maintain software licensing entitlements to ensure compliance, track usage, optimize costs, and support budgeting and forecasting.
- Implement and maintain software asset management (SAM) practices to monitor license utilization, prevent over-deployment, and align with audit and compliance requirements.
- Track and compare IT hardware models against industry standards to ensure alignment with lifecycle and refresh strategies.
- Manage logistics for IT asset shipments, including creation of shipping labels, consumable technology orders, and receiving processes.
- Perform inventory management, including tracking, audits, restocking, and secure destruction of retired assets.
- Partner with IT, Finance, Legal, and other business stakeholders to provide reporting and analysis on purchasing, contracts, licensing, vendor onboarding, and asset usage.
- Provide back-up support for IT Support teams during peak workload periods or special projects.
- Collaborate cross-functionally to resolve escalations or service delivery issues related to vendor performance, licensing, or procurement.
- Develop and maintain process documentation for procurement, licensing, and contract management workflows.
- Deliver high-quality customer service while maintaining strong working relationships with peers, vendors, and internal stakeholders.
Minimum Qualifications
Bachelor's degree in Technology, Supply Chain, Business, Finance, or related field, or equivalent combination of education and experience.Minimum of 2 years' experience related to purchasing, asset management or finance.Experience in vendor onboarding and facilitation, including coordination with cross-functional teams and ensuring compliance with internal requirements.Experience in contract management, licensing, and vendor negotiations.Knowledge of software asset management practices and license compliance.Strong ability to work independently and in team environments while interacting with all organizational levels.Skilled in organizing, prioritizing, and managing multiple workloads in a fast-paced environment.Intermediate to advanced proficiency in Excel, financial tracking, and ITSM / CRM platforms.Familiarity with corporate financial terminology and basic accounting practices.Attention to detail with a high degree of accuracy.Ability to lift up to 25 pounds occasionally as part of asset handling.Additional Success Factors
