Role Summary :

We're looking for an Administrative Assistant to support the senior level executives for Marketing, R&D and Commercial Ops in our Dallas, TX Headquarters location.

Key Responsibilities :

The following are the primary duties and responsibilities of this role. Other related duties may be assigned to meet the business need.

  • Performs a variety of highly complex administrative assignments while exercising independent judgment and initiative.
  • Must have strong problem-solving and communication skills with the ability to manage multiple tasks and action items simultaneously.
  • This person must operate effectively in a team environment, as well as being self-motivated and function independently.
  • Maintains complex Outlook calendars and meetings in a changing, fast-paced environment, effectively managing competing priorities on the executives' time and using seasoned judgment to make the appropriate tradeoffs to optimize leaders' productivity and effectiveness.
  • Sets up and coordinates regular operating mechanisms spanning global time zones (i.e. staff meetings, individual 1x1 meetings, and recurring departmental meetings, etc.).
  • Uses strong organizational skills to ensure projects and assignments are completed on time and information is organized and readily available.
  • Arranges complex international and domestic travel, including flight arrangements, hotel accommodations, ground transportation and meeting planning for executives;

and Visas, if required.

  • Processes travel related expense reports within the required time frame.
  • Handles highly sensitive company information in a confidential manner.
  • Compiles information and prepares reports and correspondence based on verbal instructions; performs research as needed.
  • Manages the request of purchase orders, issuance of purchase orders to suppliers, and tracking or invoices and payment.
  • Interacts with contractors / consultants, and at times manages temporary individuals timecards and invoicing to the temp agencies.
  • Provides administrative support including, but not limited to, typing, filing, copying, scanning, preparing / editing presentation slides, and answering office phones.
  • Performs special projects upon request.
  • May be required to support others in addition to the senior level executives .

Minimum Basic Qualifications

  • High school diploma or equivalent.
  • 5+ years related experience with 5+ supporting senior level executives.
  • Demonstrated proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Microsoft Windows operating system (Office 365 experience a plus).
  • Knowledge and experience with Concur - both travel planning and expense reporting, preferred.
  • Proficiency using MS Teams or similar web-based conference tools.
  • Requires strong organizational skills.
  • Excellent communication skills and responsiveness.
  • Professional interpersonal phone skills.
