The Front Desk Receptionist reports to the Director of Operations within Real Estate & Facilities and is responsible for office related activities such as administrative and secretarial / clerical support at PHMCs main reception desk.
Responsibilities :
- Greet, assist and / or direct visiting PHMC clients and guests between the hours of 8 : 30am-5pm
- Answer all incoming calls on a multi-line phone system and handle callers inquiries whenever possible
- Re-direct calls as appropriate and take adequate messages when required
- Act as Gatekeeper between PHMC and building security when granting access to PHMC floors
- Answer inquiries about company, have knowledge of PHMC and affiliate companies and programs
- Ensure reception area is clean and tidy at all times
- Respond to public inquiries
- Hand out applications and instruct applicants on application procedures
- Manage voice mails and forward them to appropriate parties
- Maintain security by following VMS procedures
- Assist with maintaining employee and department directories
- Assist with department on-boarding activities including technology setup
- Prepare monthly space allocation reports
- Prepare Managing Directors expense reports and reconcile department AMEX expenses and reimbursements
- Order department office supplies
- Provide clerical / administrative support
- Assist with additional projects as needed

Experience :
Administrative experience required, experience working in a human services organization preferred, experience working in a fast paced environment preferred, as well as experience operating multi-line phone system.
Education Requirement :
Associate Degree preferred, Bachelors Degree a plus, minimum of a high school diploma required.
Salary :
Commensurate with education and experience.
