Netlist is seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will play a critical role in providing comprehensive administrative support and project management for our legal team. You will be responsible for planning and managing day-to-day operations, coordinating projects, and ensuring efficient workflow.
Key Responsibilities:
- Calendar and coordinate meetings, which includes interfacing with outside counsel
- Take and distribute notes for meetings with in-house counsel, CEO/CFO, and outside counsel (including use of AI tools)
- Prepare Excel spreadsheets and trackers for Attorneys, as needed to support legal, litigation, prosecution-related work
- Maintain litigation case calendar in Outlook
- Assist with drafting, editing, formatting PowerPoint presentations for legal, licensing, and CEO/CFO meetings
- Maintain and circulate the internal Master Timeline of ongoing litigation
- Download pleadings and docket reports (via PACER) for all active litigation matters and maintain organized files in the Legal Drive
- Upload action items and assist Erin with follow-up to assigned owners
- Update and maintain the AppColl patent docketing system, which includes coordination with attorney and outside counsel/prosecuting firms
- Use Docket Navigator to assist with litigation and patent-related research requests from the Legal team
- Take over and execute the Legal Drive ? Legal Portal transition project
- Organize and coordinate logistics for on-site meetings with outside counsel and/or Board of Directors, including scheduling, catering, and on-site support
- General administrative support for Legal team and CEO/CFO as needed
- Other duties as assigned
Required Qualifications:
- Bachelor's Degree from an accredited college or university
- Advanced Microsoft Outlook, Word, and Excel skills, including logic and lookup functions.
- 1-3 years of administrative experience as an administrative assistant or in a similar role
- Strong organizational and time-management skills
- Excellent communication and interpersonal abilities
- Ability to multitask and prioritize effectively
Hourly Rate: $30.00 - 34.00 per hour
