Facility Coordinator
The Facility Coordinator serves as the first point of contact for visitors and staff managing daily front desk operations. Responsible for overall physical appearance upkeep of the specified ITC office building. Provides overall facility backup and support.
Essential Duties & Responsibilities :
- Greets guests and staff in a professional, friendly and hospitable manner.
- Ensures that all visitors are registered, provided with visitor badges and are aware of the ITC security policy.
- Ensures the reception area is kept clean, orderly and well stocked with the proper office supplies.
- Handles company business card reordering.
- Prepares reports, letters, forms and presentations as requested.
- Maintains FP mailing machines.
- Prepares outgoing mail and packages (including mass mailings).
- Responsible for mailroom, shipping & receiving and supply chain's purchasing coordinator.
- Responsible for ordering office, caf and janitorial supplies for all specified locations.
- Responsible for stocking office supply, janitorial and caf cabinets.
- Assists with auditorium setups including scheduling, management, and verification.
- Responsible for weekly inspection on our building cleaning.
- Responsible for weekly plant inspections.
- Provides monthly inspections on defibrillators and fire extinguishers.
- Escorts facility and maintenance contractors and ensures they adhere to the company's security policies.
- Coordinates meetings and other business-related functions.
- Coordinates employee station moves and updates our system.
- Responsible for Alert Enterprise entries.
- Work with our Facilities maintenance management system.
Requirements :
High school diploma or equivalent or relevant, equivalent experience and / or education.Minimum of two (2) years Customer Service experience.Excellent phone etiquette and interpersonal communication skills.Punctual and reliable.Ability to work overtime when necessary.Must have intermediate to expert knowledge of Microsoft Office.Must have intermediate to expert knowledge of office equipment, including a multi-line phone system, postage machine, copier / printer, fax and others.Able to work with minimal supervision.Ability to research and analyze various types of data or information.Customer service driven.Able to multi-task.Excellent Organizational Skills.Always maintains professional appearance and demeanor.Applicants must be authorized to work in the United States for any employer.
